Under the general supervision of the Dean of Student Services, provides clerical, technical, and administrative support.

Duties & Responsibilities

  • Performs a wide range of clerical, technical, personnel and budgetary control duties related to the operations of the Dean's office.

  • Prepares personnel action forms and changes of assignment for faculty, classified staff, and student workers.

  • Reviews and codes hourly classified employee time sheets and monitors maximum allowable time worked.

  • Assists in the development, implementation and maintenance of budgets under the Dean's Cost Center; monitors budget expenditures; initiates budget transfers, adjustments, requisitions, and warehouse supply orders.

  • Contacts vendors, obtains vendor application information and submits to District for processing

  • Review and recommend modification to improve department performance, efficiency and effectiveness

  • Provides administrative support such as but not limited to, scheduling and calendaring, communicating with students, maintaining or transcribing meeting minutes, drafting professional correspondence

  • Performs a wide range of clerical and technical duties related to the operations of the Division including purchasing, personnel, vendor relations, recordkeeping, travel requests, and budgetary control

  • Analyzes data related to student services programs. Creates computer applications that permit the management of data, production of technical reports, and the maintenance of records.

  • Greets visitors to the department, answers the telephone, and assists students, faculty, staff or the general public, providing information or assistance as required; receives student complaints including recording intake information, providing students information on the process steps, provides form(s) and instructions on completion of forms.

  • Receives, opens, and distributes the mail; refers matters to the Dean in order of priority; establishes and maintains a complex interrelated filing system and responds to inquiries for information about the college and its programs.

  • Updates information on websites, digital signage, and mass mailings

  • Prepares reports for the District, Local, State and Federal agencies as required.

  • Performs other related duties as assigned

Minimum Qualifications

1.Three (3) years of clerical and technical experience in general office work, or an equivalent combination of training and qualifying experience, which demonstrates the knowledge and ability to perform the duties of the position.

2.Knowledge and proficiency in the operation and use of personal computers utilizing word processing, spreadsheet, and database management software programs (e.g., MS Office Suite- Word, Excel, Access, and PowerPoint), the internet browser, and e-mail.

3.Understanding of, sensitivity to and respect for the diverse academic, socioeconomic, cultural, disability and ethnic backgrounds of Peralta Colleges' students, faculty, staff and community.

4.Understanding of, sensitivity to, and respect for the diverse academic, socioeconomic, cultural, disability, gender identity, sexual orientation, and ethnic backgrounds of community college students.

Desirable Qualifications

Knowledge of:

  • Concepts, techniques, procedures, and policies applicable to community college student services areas

  • Knowledge and ability to apply proper English usage, grammar, and punctuation.

  • Administrative and office procedures and practices

  • Basic research and analytical methods

  • Modern office equipment, including familiarity with data entry and retrieval using computer terminals

  • Bilingual preferred

Ability to:

  • Ability to independently set up, monitor and track budgets and prepare reports.

  • Ability to train and supervise the work of student personnel.

CONDITIONS OF EMPLOYMENT

Employees must satisfy all pre-employment requirements to work for the District which include, but are not limited to, the following items:

REQUIRED FOR ALL EMPLOYEES

Tuberculosis Examination: Prior to employment, the successful candidate will be required to submit evidence (either skin test or X-ray report) of being free of tuberculosis within the past sixty (60) days. The TB test is a condition of employment and any expense must be borne by the successful candidate.

Fingerprinting Requirement:

As a condition of employment, all employees working for community colleges in the State of California are required to be fingerprinted within the first ten (10) working days of the date of employment pursuant to Education Code Section 88024. The District Office of Human Resources processes fingerprints electronically. During the employment intake process, new employees will be given information to have their fingerprints taken at another location.

Immigration Requirement: According to the Immigration Reform and Control Act, the Peralta Community College District is required to verify that all new employees are:

  1. A citizen or national of the United States;

  2. An alien lawfully admitted for permanent residence in the United States; or

  3. An alien authorized by the U.S. Citizenship and Immigration Service to work in the United States.


All new employees are required to complete and sign a verification form and provide documentation attesting that he/she is a United States citizen, national, or an alien lawfully authorized to work in the United States.

District Policy: A Social Security Card will be required following selection and prior to completion of the hiring process. The employment process cannot be completed without a copy of the Social Security Card on file in the Office of Human Resources.
