This is a Staff Assistant III position with the Jean Rainbolt College of Education.

Job duties include:

  • Assist undergraduate students with admission requirements (e.g. course equivalency, transcripts, required paperwork, etc)

  • Monitor student progress for faculty information

  • Maintain student files and manage student data information systems - Laserfiche, Degree Navigator, Slate

  • Speak with and help recruit new students

  • Assist with day-to-day responsibility for coordinating and performing specialized clerical functions

  • Help schedule appointments for faculty and students

  • Help plan and organize programs and conferences for all JRCOE programs and centers

  • Maintain daily correspondence-receive and respond to phone calls and emails daily

  • Receive, read, and distribute incoming mail

  • Create, Compile, and maintain monthly reports

  • Maintain filing systems including confidential documents and student files

  • Maintain college supply lists

  • Keeping internet sites up to date with college events on the webpage, Facebook, Twitter, & Instagram

  • Provide admin support for Associate Dean and an Endowed Chair

  • Maintain a professional, clean, and organized front office/reception area

  • Help maintain presence of office

  • Perform other related duties as assigned

Requirements:

High School Diploma or GED; and 12-24 months strong administrative support experience.

Required Skills:

Excellent communication skills - both oral and written.

Must be able to work successfully in a team situation with a diverse group of faculty, students, and other staff.

Strong organizational skills.

Basic word processing, computer proficiency, and ability to learn new data information systems.

Must have professional experience using social media accounts.

Advertised Physical Requirements:

Standard administrative office environment and exposure, including frequent keyboarding. Up to 15% of this position requires mobility,

such as being able to move between rooms or between buildings on campus

Department Preferences:

College advising experience

Experience working in a higher education environment

Some basic bookkeeping and accounting experience a plus

This position is responsible for abstraction and accurate coding of procedures from various forms and medical records to ensure optimal reimbursement and compliance with all regulations, policies and procedures. REPRESENTATIVE DUTIES: Coding Abstracting and coding (CPT and ICD) procedures and diagnosis from medical records. Verify medical record documentation requirements. Review charging procedures to ensure compliance with Federal Regulations, Medicare and Medicaid Policies, etc. Functions as advisor/educator to faculty with regard to charge documentation, diagnosis and procedure coding and charge policies. Patient Scheduling Charge Entry (If Need Arises) Performs preliminary review of source documents to determine that sufficient data are present for processing Using alphanumeric keyboard, transcribes and/or verifies data from source documents to the medium used for entering data into the computer Batch charges Generate hash totals Enter charges Balances batches by comparing batch proofs to source documents and hash totals Billing May interact with hospital patient accounting or records personnel to obtain patient demographic or other billing information Completes processing of all inpatient and outpatient documents received on a daily basis Assists in resolving department problems with patient billing Collection Answers patient's questions regarding statements, agency coverage, etc. Handles correspondence regarding collection activity and records results Identify patient accounts for collection action when accounts become delinquent or when unable to contact patient or responsible party May receive patient payments and/or issue payment receipts Follow-up Initiates contact with patients and/or third party carriers if there is a delay in responding to statements or claims May process incoming and outgoing mail May receive incoming telephone calls and resolve issues communicated Records results of mail and telephone contacts on the computer billing system Contacts insurance carriers regarding non-payment and/or improper payment of claims Reviews denials Interfaces with patients, physicians, and others regarding professional billing operations and funds Reporting Assists in reviewing and balancing patient billing transaction reports for administration Reconciles daily patient billing receivables reports Prepares billing statements from statistical data Credit Balance Resolution Review daily billing and accounts receivable credit balance reports Prepare daily refund check requests Prepare other daily credit balances other than refunds Post refund checks to patient accounts Mail refund checks with supporting documentation As Needed. Performs various duties as needed to successfully fulfill the function of the position Education: High School diploma or GED Experience: Must have 12 months professional experience within a healthcare organization with revenue cycle responsibilities. Required Skills: Must be familiar with operating standard office equipment. Must have the ability to access, input, and retrieve information from the computer. Ability to read and interpret medical charges. Ability to communicate effectively with department and clinical staff; including clearly communicating medical information to professional practitioners. Certifications/ Licenses: Must hold one of the following: Certified Professional Coder (CPC) Registered Health Information Technician Certification (RHIT) Certified Outpatient Coder (COC) Certified Coding Specialist (CCS) Certified Coding Specialist - Physician based (CCS-P), or National Healthcareer Association Certification.
