Examples of Work

Maintain inventory cycle count systems, conduct annual physical audits of shop inventories, manufacturing cost and manufacturing accounting systems and service billing systems in Enterprise One (E1) for CSI. Maintain business office related E1 reporting functions.

Prepare private venture payrolls and maintain workforce development records. Perform or assist in other daily Business Office functions as assigned by CSI Budget Officer. Responsible for managing CSI staff that performs work functions as follows: preparing CSI inmate payroll; preparing laundry billing summaries; preparing daily A/R, mailing, misc. billing activities and other Business Office functions.

Manage daily cycle counts in E1. Coordinates reports & directs reports to inventory control & warehouse for completion. Review count activity & provide detailed analysis of cycle count variance results to NDCS Assistant Controller to maintain integrity of inventory.

Manage daily manufacturing accounting process in E1, including work-in-progress, work order journal entry updates, completions and analysis of variances. Maintain shop integrity through process & control of traveler forms that direct misc. issues, inventory issues, non-stock transfers, and warranty activity. Initiate and manage all miscellaneous service billings for CSI.

Process purchasing documents in E1 and other functions in the absence of the Budget Officer. Primary supervision of inmates is required. Monthly, maintain/process vehicle logs for all CSI vehicles.

Update ACA files annually. Process inmate payroll for all CSI Administration inmates.

Qualifications / Requirements

REQUIREMENTS: Post-secondary degree in office management, secretarial/office support, customer service, administration, or a related area OR one year of experience in office management, secretarial/office support, customer service, or administration, including use of computer software such as word processing, spreadsheets, and database management OR one year of coursework/training or experience involving research, presentation, or publication in an area related to the programs or functions of the employing agency.

PREFERRED: Bachelor's degree in Business Administration with Accounting emphasis.

Work experience using Microsoft Word, Excel and Outlook. Experience using E1/NIS.

OTHER: Applicant accepting a job offer must pass the following pre-employment exam and, at a randomly announced time, pass a drug test. Once at the Staff Training Academy, must successfully complete the fully paid NE Corrections Training Program.

Knowledge, Skills and Abilities

Knowledge of office processes and procedures; customer service processes and principles; administrative and office/clerical procedures and associated computer applications such as word processing, file management, record keeping and database management. Ability to formulate and recommend alternative courses of action; communicate and exchange information and ideas with others; create reports using word processing or other computer applications; summarize technical data and results of research into reports; track and monitor information; retrieve information from a variety of sources and have strong computer skills.

Must be able to maintain high level of confidentiality. Must have strong organizational skills.

Receive jail notifications from the Nebraska Criminal Justice Information System (NCJIS), track discharge date, and update status in the database. Process verification letters to include mailing and logging in the database when mailed, received, and if returned. Transfer noncompliance data from the old database to the new database. Assist with processing offender relocations from other states and jurisdictions by reviewing registration requirements, obtaining documents needed to support a file, determining registration duration, and ensuring registration. File SOR documents. Be an integral team member and assist with daily functions and projects as requested by the SOR supervisor. Qualifications / Requirements REQUIREMENTS: Coursework/training in administrative/office support functions, procedures, and methods including the operation of personal computers and office equipment; research; or areas related to the programs and functions of the employing agency OR experience in performing administrative/office/secretarial support work including the use of personal computers and office equipment.
