General Summary
The Staff Assistant II will provide administrative support to 4 faculty members within the Krantz Family Center for Cancer Research (KFCCR). This position will work with a high degree of independence and will interact with all levels of department personnel.
Principal Duties and Responsibilities
Provides administrative support for Drs. Liron Bar-Peled, Doga Gulhan, Michael Lawrence, and Esther Rheinbay and their labs.
Maintains calendars and schedules appointments for Drs. Liron Bar-Peled, Doga Gulhan, Michael Lawrence, and Esther Rheinbay.
Makes travel arrangements: Plans and books travel, including flights, accommodations, and itineraries for Drs. Liron Bar-Peled, Doga Gulhan, Michael Lawrence, and Esther Rheinbay.
Provides support for lab related events & meetings
Schedules and supports journal clubs, lab meetings, lab social events
Room/restaurant reservations
Room, conference call and videoconferencing set-up
Catering orders, room setup/breakdown
Greeting & escorting guests upstairs
Email distribution & posting
Provides financial support:
Processes general invoices
Monthly expense/Pcard reconciliation and reimbursements for PIs
Reimbursements for postdocs (train them to do it themselves)
Graduate student salaries (Check Requests)
Provides general office support:
Scanning documents
Keygiving Access
Printing documents
Compiling/converting documents into PDF
Guest registration
Computer, software orders
Office supply orders
Place work orders for Buildings & Grounds - building maintenance
Fed-ex
Coordinate IT support: computers/laptops/cell phones
Assists with job candidate visits, travel arrangements, hotel accommodations, and reimbursements.
Updates and formats HMS CVs for Drs. Liron Bar-Peled, Doga Gulhan, Michael Lawrence, and Esther Rheinbay.
Compliance with MGB rules and regulations such as maintenance of ERIS accounts

Education and Experience Required
Bachelor's degree preferred
High School diploma or GED required
Minimum of 3 years' experience in office support
