Secretarial/clerical functions to include typing correspondence, memorandums, forms, reports and confidential information; answering telephone lines for assigned staff. Routes telephone calls and messages. Handles various tasks related to maintenance of office systems, records, files, and client charts according to chart guidelines.
Serves as receptionist, answering, screening, and routing calls for assigned staff.Consults with supervisor regarding communications received and relays messages as necessary to staff. Must conduct themselves in a manner which will reflect favorably and professionally upon the Center and employees.
When receiving calls, the Staff Assistant will contact the appropriate staff in order to respond to client's questions and concerns in a timely manner. All customers are to be treated with courtesy, respect and dignity and are served in the most caring and professional manner possible.
Conducts client financial assessments and performs administrative intakes gathering data for financial eligibility, insurance fees in working with the Financial Service Department, etc.Sets client fees in accordance with policy. Performs fee collections and issues receipts.Responsible for billing, write-offs and other applicable financial records as deemed necessary.Maintains client service records and insurance records as assigned.
Opens and maintains client files.Performs administrative reviews of files, charts and records for completeness, accuracy and compliance with Agency regulations and procedures and other licensing requirements. Maintains security of records, charts and files.
Coordinates processing of work orders and supply requisitions.Tracks to ensure prompt filling of orders.
Prepares deposits, maintains petty cash, and route it to accounting.
Knowledge of all SOP policies and procedures.Knowledge of HIPAA regulations. Respects and ensures protection of client rights and confidentiality/privacy.
Process record request in accordance with established Center policy and complete the process within required time frame (i.e. 7-10 business days).
Education and Experience:
Rate of Pay: $11.25/hr
Shift: Monday-Friday, 8:00am-5:00pm
High school diploma or equivalent.
Three years of secretarial/clerical experience. Must possess a typing score of at least 55 CWPM.
