MINIMUM QUALIFICATIONS:

One year verifiable secretarial / clerical experience in a medical or clinical setting

One year verifiable data entry experience

One year verifiable customer service experience

JOB DUTIES AND RESPONSIBILITIES:

This position is with the Department of Health in Orange Healthy Start Initiatives. This is a specialized clerical support position that requires independent decision making responsibility and provides support to the Healthy Start initiatives, and team members.

Reviews Healthy Start Risk Screening forms for completeness and accuracy Documents and processes risk screening instruments into HMS Health Management System and WFS database. Prints Healthy Start Risk Infant Screenings and birth outcome reports from E-vault.

Reviews, and reconcile Healthy Start Risk Screening forms and import report to verify that all screens imported accurately and reports any discrepancies accordingly. Compiles and analyzes risk screening instruments for administrative decisions preparing client new case assignment. Checks Health Management System (HMS) Healthy Start database for any duplicate screening forms and identify them as duplicate.

Process all Screens into the Health Management System (HMS) prenatal Module. Imports all Healthy Start Prenatal Clients which have uploaded into the Wells Family System (WFS) and assign them to a HS Care Coordinator. Create new intake or New family record in WFS for any client which did not upload from HMS. Determines, assigns per Healthy Start care coordination protocols.

Gives information to the general public regarding the services rendered by the agency or the state, and general information concerning the location and services offered by other state agencies. Updates telephone voice mail messages and post signage as needed.

Answers the telephone, screens individuals and calls by securing information so that they may be given correct information or by direction them to an appropriate source. Takes and relays messages and information. Refers calls appropriately, greets visitors, maintains order in the reception area, follows/ adheres to office security protocols and provides information and directions. Provides appropriate referral information.

Performs a range of associated administrative functions, as appropriate, such as sorting & distribution of screening forms, conduct research and document birth outcome findings into Wells Family System WFS, perform other routine office duties and other related work as required. Maintains and safeguards both hard copy and electronic documentation and records.

Secures documents, files and prepares records for retention
