Position Overview:
We are seeking a detail-oriented and organized Staff Accountant with exceptional multitasking abilities to join our team. This role encompasses general accounting and bookkeeping duties along with office management responsibilities. The ideal candidate will be proficient in financial tasks such as billing, bank reconciliations, accounts payable, and payroll processing, while also adept at managing office operations, technology support, and administrative functions.

Key Responsibilities:

1. General Accounting and Bookkeeping:

    • Maintain accurate and up-to-date financial records using accounting software.
    • Prepare journal entries, reconcile accounts, and ensure compliance with accounting principles.
    • Assist in month-end and year-end closing processes.

2. QC Billing:

    • Generate and review client invoices for accuracy and completeness.
    • Coordinate with project managers to ensure timely and accurate billing.

3. Bank Reconciliations:

    • Reconcile bank statements and investigate any discrepancies.
    • Monitor cash flow and ensure proper recording of transactions.

4. Accounts Payable:

    • Process vendor invoices, obtain approvals, and issue payments.
    • Maintain vendor records and resolve billing issues.

5. Office Management:

    • Oversee office operations and provide support to staff as needed.
    • Manage office supplies, equipment, and facility maintenance.
    • Serve as the primary point of contact for technology support and liaise with IT vendors when necessary.

6. Order Company Equipment:

    • Procure and manage company equipment and supplies in accordance with budget guidelines.
    • Coordinate with vendors to ensure timely delivery and quality service.

7. Payroll and PTO Management:

    • Process payroll for internal and contractor employees accurately and on time.
    • Administer the paid time off (PTO) system and maintain leave balances.

8. Insurance Management:

    • Liaise with insurance vendors to secure appropriate coverage and manage policy renewals.
    • Assist in filing insurance claims and resolving related issues.

9. Client Onboarding:

    • Facilitate the onboarding process for new clients, including setting up accounts and contracts.
    • Ensure compliance with regulatory requirements and company policies.

10. Annual Reporting:

    • File annual reports and tax filings accurately and in a timely manner.
    • Manage 401(k) annual reporting and compliance requirements.

Qualifications:

  • Bachelor's degree in Accounting, Finance, or related field.
  • Proven experience in accounting and office management roles.
  • Proficiency in accounting software and Microsoft Office Suite.
  • Strong analytical skills and attention to detail.
  • Excellent communication and interpersonal abilities.
  • Ability to prioritize tasks and manage time effectively.
