The Staff Accountant is responsible for daily Accounts Payable tasks and entering cash receipts into the accounting software. Tasks include organizing documentation for Accounts Payable entry, entering cash receipts and disbursements in the accounting software, maintenance of Accounts Payable ledger, and assisting with grant reporting.
ESSENTIAL FUNCTIONS AND BASIC DUTIES
Under the direct supervision of the Director, the Staff Accountant will perform the following functions:
1.Under general supervision, performs assigned accounting functions:
Receives Requests for Payment from AYW staff and enters expense transactions in the accounting software.
Prepares vendor payment checks on a weekly basis.
Monitors credit card balances and the makes payments as needed.
Follows Generally Accepted Accounting Principles, internal policies, and grant requirements.
Maintains Accounts Payable files by the vendor in a clear and orderly manner.
Records cash receipts in the accounting software on a weekly basis.
Maintains the confidentiality of sensitive information.
Cross Trains with Payroll Administrator on Payroll Functions.
Completes special projects and miscellaneous assignments as required.
2.Under minimal direction, researches, tracks, and resolves accounting problems and discrepancies.
3.Establishes and maintains effective communication and coordination with AYW staff and management and is committed to providing good customer service to all AYW staff.
4.Keeps management informed of issues and concerns related to accounting functions and vendor relations and assistance and support are provided as needed.
5.Attends and participates in meetings as requested.
6.Cash Disbursements and AP Reconciliation have performed accurately and in a timely manner.
7.Accounting documents, records, invoices, and reports are prepared, maintained, and presented accurately and in a timely manner.
8.Department files are appropriately maintained.
9.Policies and procedures of AYW are followed.
10. Accounting functions are completed in accordance with established standards, policies, and procedures.
EDUCATION / CERTIFICATION: Bachelor's degree in Accounting or related field
EXPERIENCE: Three years of previous related experience with contracts and billings;
EDUCATION / CERTIFICATION: 12 semester hours in accounting. Any combination of related experience and/or education may be substituted and six (4) years of work experience such as described in the essential functions and duties of the job description.
