The Travel Program Coordinator is responsible for the administrative component of Soccer Stars United; the competitive travel program Soccer Stars.

Essential Duties and Responsibilities (include but are not limited to):

Act as club registrar:

  • Oversee league system data entry (games, field times)
  • Player registration (gathering documentation and creating passes)
  • Handle team registration in league and tournaments,
  • Manage player/coach pass creation process
  • Provide primary representation at league meetings

Conduct parent interface including phone, email correspondence

  • Coordinate weekly referee allocation and distribution
  • Assist coaching team with weekly email/parent communication and updates
  • Manage assignment of fields for league season and game scheduling
  • Provide league and tournament research
  • Assist with coordinating out-of-town tournament arrangements
  • Weekend game-day liaison, field set up and logistical planning
  • Liaise with club/opposition representatives re: game changes and provide accurate, timely information for parent communication
  • Daily/seasonal bus list coordination: coordinate daily bus rosters for buses (pick up drop offs, absences, daily coach notifications)
  • Assist with setting yearly calendar for team practices, holiday clinics, summer camps and tournaments
  • Supply coaches with the appropriate game equipment and first aid materials
  • Assist with annual Open Tryouts event preparation, set up and execution
  • Provide schedule and staffing coordination for games and practices
  • Liaise with league to coordinate schedule, referee, fields and results standings administration
  • Liaise with parents and caregivers to receive feedback on staff performance and the program content
  • Support the VP with seasonal travel team & parent kick off meetings
  • Provide timely website & Team Snap updates including: field location information and schedule changes
  • Complete Admin System updates to ensure all games, practice information is accurate
  • Provide general administrative support of Soccer Stars United

Areas of focus include program coordination for immigrant and partner initiatives, tracking lobbying activities and reporting for legal compliance, assistance with planning and evaluation activities and administrative support for senior staff. WES Global Talent Bridge is dedicated to helping skilled immigrants fully utilize their talents and education in the United States and Canada. We join with institutional partners, community-based organizations, and policymakers to help skilled immigrants use their skills, leverage their training, and achieve their academic and professional goals. The Coordinator will report to the Director of Program Development, Planning and Evaluation, with project reporting to others, as appropriate. The Coordinator will work collaboratively with WES teams and external stakeholders (e.g. immigrant-led organizations, service providers, and educational institutions). Duties included but not limited to: 1) Program Coordination * Participate in program development including identifying needs, opportunities and gaps, developing and evaluating program activities,and engaging relevant partners and stakeholders * Assist with program implementation including program delivery, stakeholder engagement, presentation preparation, documentation and reporting * Support the development and maintenance of program and project work plans * Assist team members in the implementation of the Global Talent Bridge evaluation system including data entry, data collection and reporting 2) Administrative and Operational Support * Prepare local, state and federal lobbying compliance reports * Provide administrative and logistical support to the team for GTBevents and participation in partner events and conferences including meeting and event coordination, scheduling, materials preparation, note-taking, registrations, evaluation and post-event follow-up, bookings and reimbursements * Provide planning, administrative and logistical support for Global Talent Bridge team meetings including note-taking and meeting follow-up * Maintain membership database and assist in membership and subscription renewals * Support senior staff in their administrative tasks such as planning, scheduling, formatting presentations and documents and preparing reports 3) Ad Hoc Organizational Support * Coordinate with the Global Talent Bridge team and other WES teams(e.g. Marketing, Communications) for support, as needed * Coordinate with external consultants/vendors and interns, as needed The Ideal Candidate will: * Thrive in a fast-paced environment, be a self-starter who can prioritize effectively * Be an impeccable,detail-oriented planner and implementer * Bring a "can-do" attitude and have a willingness to adapt as the work evolves * Be a good steward of relationships, with the ability to develop and manage relationships with internal and external stakeholders * Be service-oriented balanced with an asset-based mindset * Thrive in an environment that values transparency, collaboration, and an orientation for results * Have a strong commitment to WES' mission Requirements: * Bachelors degree in a related field * Possess knowledge of immigrant or refugee issues/communities, including skilled immigrant integration * 1-2 years of relevant work experience * Fluency in English with excellent written and communication skills * Must have advanced proficiency using Microsoft Office (Excel, Word and PowerPoint) * Experience with Salesforce (or other CRM system)and webinar/meeting platforms, an asset * Ability to learn, understand and apply new technologies * Strong planning, organizational and implementation skills * Ability to solve problems creatively, collaborate effectively with team members and partners and deliver high-quality, accurate work in a fast-paced environment * Professional presence and ability to represent the WES at external events and with key stakeholders EOE Statement: World Education Services provides equal employment opportunities (EEO) to all employees and applicants for employment without regard to race, color, religion, sex, national origin, age, disability, sexual orientation, gender identity or expression, veteran status, or genetics.
