CONSULT CASES:

1.Processes/types final surgical diagnostic reports for Vice-Chair's private consult cases (approx. 2700 p.a.). Calls

referring pathologists and clinicians to obtain outside pathology reports and/or clinical histories when necessary. Checks

billing codes in PowerPath, matches up patient demographics with outside correspondence and prepares billing forms

when indicated.

2.Packs up (for mailing) all original pathology materials (slides and blocks) to return to outside institutions.

3.Prepares original correspondence for scanning (i.e. obliterating outside bar codes, removing staples) and collating with

PowerPath reports. Maintains revolving file for correspondence.

DATABASE AND MATERIALS MANAGEMENT:

1.Maintains slide files for Vice-Chair's private consult service, which includes matching unstained slides with cases,

generating slide labels and filing. Keeps a log of consult blocks going to/from the histology laboratory.

2.Organizes and facilitates the collection of case materials with reports for weekly BWH/DFCI multidisciplinary

clinicopathologic sarcoma conference (approx. 12 cases per week) which involves ordering slides from storage, liaising

with Consult Services, residents, fellows and senior staff as well as with individuals from other divisions (e.g. Cytology).

Prepares QA report for conference

3.Conducts database searches and creates reports as needed. Maintains various databases.

RECEPTIONIST/GENERAL ADMINISTRATIVE DUTIES:

1.Answers telephone for Vice-Chair and the Division, directs calls and takes messages. Responds to telephone and faxed

requests regarding diagnostic results (while maintaining HIPAA compliance). Communicates daily with patients, outside

pathologists and clinicians and their representatives, members of the Department and BWH community.

2.Prints journal articles from eCommons (and on-line sites) and generates monthly Tables of Contents, as directed by the

Vice-Chair.

3.Performs general office tasks such as filing, photocopying, collating and distributing materials.

4.Serves as back up to Vice-Chair's Senior Administrative Assistant in his/her absence.

ORGANIZATIONAL COMPETENCIES:

Level of education required:

  • Minimum of a high school diploma or GED.

Work experience required:

  • Minimum three years medical office or administrative support experience required.

  • Some additional training in office systems or other post high school education preferred. Associate's Degree or higher

level education preferred, but not required.

SKILLS/ ABILITIES/ COMPETENCIES REQUIRED:

  • Knowledge of practice operations and standards.

  • Understanding of procedures including filing, copying, scanning, printing, and faxing.

  • Highly proficient in all communication skills (phone, verbal and written). Ability to handle sensitive information and

    Ability to prioritize effectively. Ability to

manage multiple tasks effectively, following established protocols, and work within systems.

established guidelines.

  • Advanced understanding and use of medical terminology.

including policy and procedures with The Joint Commission and HIPAA.
