Senior Stewardship Coordinator for Major & Leadership Gifts

Summary

Reporting to the Assistant Director for Donor Engagement, the Senior Stewardship Coordinator collaborates with Major and Leadership Gifts and the President's Office to steward donors who give between $100,000 and $5,000,000. This role offers the opportunity to apply creative and strategic thinking in a wide range of communications and stewardship projects that connect the University with Major and Leadership donors with the goal of cultivating future gifts.

Working with the Executive Director for Stewardship, this position will be responsible for implementing a First Time Major Gift program for all new major gift donors across the University and Duke Health.

Job Responsibilities

First Time Gift Program

In collaboration with key partners across campus, provide strategic recommendations for stewardship touchpoints and launch the First Time Gift Program.

Create a uniquely Duke experience for first time major gift donors from the cultivation phase through solicitation, gift closing, and stewardship in close partnership with school/unit colleagues and the Major & Leadership Gifts team.

Collaborate with gift officers, program coordinators, and school/unit stewardship staff to create custom touchpoints including donor profiles/stories, video messaging from key university leaders, special acknowledgements from peer donors, and other touchpoints as they arise.

Work with Major & Leadership Gifts and the Regional Engagement team to plan regionally based recognition for these donors, including opportunities for small gatherings of new major gift donors.

With the Assistant Director for Donor Engagement, create special opportunities for new major gift donors at donor recognition weekends on campus and in the regions.

Work with Marketing and Communications colleagues for video and design needs.

Manage the tracking of the program, including coding these donors in DADD, utilizing tools like Asana to manage content creation, and adding Moves to DADD to record when touchpoints are sent.

Develop metrics and key performance indicators to track outcomes of this program and perform an annual audit and analysis of those metrics.

Major and Leadership Giving Stewardship

In collaboration with the Major and Leadership Gifts (MLG) team, the Senior Stewardship Coordinator strategically plans, designs, implements, and manages a comprehensive stewardship program for engaging with and strengthening ties between Major and Leadership donors and the University.

In collaboration with the Impact side of the stewardship team develop innovative and strategic stewardship touchpoints, communications and storytelling that include but are not limited to social media, impact reports and infographics, customized birthday videos, donor profiles, endowment welcome packets, and other stewardship donor communications.

Utilize platforms and tools like Canva and ThankView to create and send special touchpoints.

Develop and maintain stewardship touchpoint calendar, timelines, and matrix for donors from the time the gift is booked through the final pledge payments, ensuring that donors are hearing from us as their funds continue to build.

Conduct annual audit of processes and makes appropriate recommendations; monitor, evaluate and demonstrate program success with data, metrics, stories and feedback.

Act as a primary liaison for MLG stewardship, assisting in resource identification and operational needs for program coordinators and gift officers. Plan and lead MLG Stewardship meetings.

Integrate First Time Gift program within larger MLG Stewardship Program

Executive Acknowledgements

Manage the executive acknowledgement process for campus wide donors giving at the Major and Leadership level.

Audit the executive acknowledgment process, making strategic recommendations for increased efficiency and timeliness.

Manage biweekly/monthly acknowledgment process, including:

Writing acknowledgements letters on behalf of the President and data management collaboration with Business Intelligence team, Principal Gifts, Major and Leadership Gifts and the President's Communication team.

Maintaining a system for archiving acknowledgment letters electronically, ensure that Moves are added to DADD, and respond to any special requests related to acknowledgments from gift officers.

Updating executive language, as needed, in collaboration with the president's office.

Ensuring the timely and thorough tracking and reporting of acknowledgement process in Asana.

Stewardship Information Hub

Build and manage the Stewardship Channel in Microsoft Teams, which serves as an information hub for AED.

Ensure that the latest information, sample documents, and timely rollout of touchpoints are added to the calendar. Refresh upcoming events and documents with the assistance of other team members.

Other Duties

Staff major stewardship recognition events on campus, and potentially staff events in the regions.

REQUIRED SKILLS

Ability to interact with donors and senior-level executives and administrators.

Ability to maintain high degree of confidentiality and responsibility regarding information related to donors and the university.

Strong customer service mentality.

Attention to detail and the ability to prioritize and execute multiple projects under demanding deadlines.

This position requires the ability to work occasional evenings and weekends for events and programs.

PREFERRED SKILLS/EXPERIENCE

Experience working within a CRM to manage donor information and data.

Demonstrated understanding of donor relations and stewardship to a successful fundraising program, and experience working in a complex environment and managing situations involving numerous and competing priorities.

Proficiency in data analysis and report preparation.

Ability to remain flexible and adaptable to fundraising trends, leadership direction, and donor needs.

Interest in developing best practices and partnering with colleagues to advocate for improvements across the development enterprise.

Prefer three years of progressive experience in the field of stewardship, donor relations, development, or related field

Minimum Qualifications

Education

Work requires communications, analytical and organizational skills normally acquired through completion of a bachelor's degree program.

Experience

Work requires two years of experience in fundraising, alumni affairs, public relations, student activities, program administration or a related field to become familiar with activities involved in planning special events or programs or an equivalent combination of education and relevant experience.
