The Senior Specialist, Business Processes and Systems is responsible for maintaining GMP auditing business processes and systems. This role will involve the Business Owner role for the Trackwise system pertaining to Audits. The Senior Specialist will support/lead continuous improvement projects as determined by the Director to help advance the auditing organization toward improved efficiency, data integrity, etc. This includes all supporting business processes and IT systems for auditing (End to End). The position will enable the Auditing organization to meet its business objectives and goals.

The position will be responsible for developing, monitoring, trending, and reporting accurate Trackwise audit related data to understand and communicate the health of the Auditing QMS and the larger organization. The Senior Specialist must be capable of working independently with limited supervision in a virtual-management environment.

The Senior Specialist will report to the Global Businesses and Systems Lead and will collaborate with Global and Site Auditors and other relevant Merck customers to meet customer demands and advance auditing business processes.

Primary Activities:

  • Business System Administrator Auditing Trackwise System and related interfaces: Includes retirement (as appropriate) of systems being phased out.

  • Coordinate training and assign individual user access privileges in the system(s) as needed (AMS will execute IT functions for providing access) and maintain approved user access forms

  • Responsible for maintaining system use and administrator procedures and custodial tasks for data, including answering questions regarding data

  • Manage system events/issues that may come up (this will be very intensive when QSAT changes roll out through the Hypercare period

  • Responsible for entering all system IT Tickets/help cases and managing them through completion

  • Responsible for SOPs (User, System Administration, etc.)

  • Ability to operate effectively in a complex business environment; changing priorities, significant regulatory complexity, multiple technology platforms, etc.

  • Serve as Auditing Knowledge Network Steward and/or support Steward in maintaining content on the Community

  • Monitors system data on an ongoing basis to ensure completeness/accuracy

  • Assist with scheduling for Global audits to maximize effectiveness, and efficiency

  • Maintenance of global system for tracking auditors skills, job descriptions, resumes, and certification

  • Responsible for updating audit team site and ensuring content is current and relevant

  • Responsible for generating and reporting metrics/KPIs as needed through QSAT

  • Assist Auditors and sites with Regulatory Agency requests related to audits

The Associate Director within the Quality Assurance Center of Excellence is the 'Voice of Quality' for the Site and is responsible for providing Quality direction and oversight to the WP Site in the management of those areas assigned in order to maintain compliance with Regulatory requirements. The individual is an Advocate for the development, execution and deployment of WP Site and MMD priorities. The Associate Director drives quality improvement activities and ensures alignment across the site in the execution of their assigned areas. The individual is responsible for the development and maintenance of Quality Systems at the West Point site in accordance with cGMPs and international regulations, Merck guidelines, procedures, and policies. Ad hoc member of the WP Site Quality Council. The Associate Director will lead key compliance projects at the site aimed at elevating our compliance posture. Project Managers are expected to fully manage all aspects of assigned projects, including but not limited to: quality decision making, stakeholder management, issues identification and resolution, and drive all aspects of project in alignment with established timelines. The primary roles and responsibilities include: * Oversight of the Annual Product Review (APRs) program. * Oversight and management of Quality Agreements (QAs) concerning both other Merck Sites and external vendors and/or contractors involved in the GMP aspects of the Site * Provide Quality oversight of supplier information across all categories of suppliers that service WP. Provide quality input for assessing risk associated with use of specific suppliers, audit results, etc. * Manage Supplier Management system by processing / approving changes and auditing system data as appropriate. * Serve as Quality subsystem owner / subject matter expert for relevant Quality System(s). * Deep understanding of the interrelationship between multiple Quality Systems to enable big picture approach to systematic decisions. * Presenting information to regulators as needed. Individual will primarily support the Annual Product Review / Supplier Management group, but also may have the opportunity to support other areas within the MMD West Point Quality Assurance organization, including: * SOP and Batch Record Management * Process Change Management * CAPA Management * Audits and Inspections * Deviation Management * Inspection Management, QMS / Quality Council Management * Quality Risk Management Qualifications Education Minimum Requirement: * Bachelor's degree in science, engineering, or related areas of study. Required Experience and Skills: * Minimum 8 years in Pharmaceutical Quality, Regulatory, or related experience with progressive and demonstrated Quality decision making responsibility * Demonstrated interpersonal skills including flexibility, collaboration and inclusion skills, and ability to work in a team environment. * Demonstrated self starter with capability to develop innovative solutions to challenges. * Deliver results across diverse areas at Site * Proven analytical aptitude, critical thinking skills, and ability to apply key concepts. * Speaks with courage and candor. * Strong written and verbal communication skills. * In-depth working knowledge and application of GMPs. Preferred Experience and Skills: * Experience working in Trackwise application. * Demonstrated ability to analyze data, identify areas of concern and drive action. * Experience with application of Lean Six Sigma / Merck Production System (MPS) principles and tools. * Understanding of Product Quality Complaint (PQC) and Adverse Event investigation requirements for manufacturing sites.
