About the Role: SumTotal Systems is seeking a self-motivated and energetic Sr. Program Manager/Sr. Project Manager to join our Software Engineering Team. This role involves active mentoring, process management, external vendor interactions, release deliveries and project management. Ability to learn quickly and work on disparate and overlapping tasks will define his or her success.

Duties & Responsibilities:

  • Coach, mentor, motivate and supervise project team members and contractors, and influence them to take positive action and accountability for their assigned work

  • Build, develop, and grow any business relationships vital to the success of the project.

  • Experience at working both independently and in a team-oriented, collaborative environment is essential.

  • Ability to bring project to successful completion through political sensitivity.

  • Provide thought leadership in the work required to establish management best practices within the internal groups

  • Provide leadership and expertise that establishes credibility with internal & customer facing groups.

  • Enhances department and organization reputation by accepting ownership for accomplishing new and different requests; exploring opportunities to add value to the organization.

  • Meets objectives by forecasting requirements; analyzing variances; initiating corrective actions & developing models that helps others emulate the same

  • Ability to elicit cooperation from a wide variety of sources, including upper management, clients, and other departments.

  • Develop best practices and tools for project execution and management.

  • Develop and deliver progress reports, proposals, requirements documentation, and presentations when necessary.

  • Proactively manage changes in project scope, identify potential crises, and devise contingency plans.

  • Understand the business requirements and drivers of the project/tickets.

  • Define project scope, goals and deliverables that support business goals.

  • Plan and schedule project timelines and milestones using appropriate tools. Develop full-scale project plans and associated communications documents. Effectively communicate project expectations to team members and stakeholders in a timely and clear fashion.

  • Liaise with project stakeholders on an ongoing basis and estimate the resources and participants needed to achieve project goals.

  • Determine and assess need for additional staff and/or consultants and make the appropriate recruitments if necessary during project cycle.

  • Set and continually manage project expectations with team members and other stakeholders.

  • Track project milestones and deliverables. Identify and manage project dependencies and critical path.

  • Ability to effectively prioritize and execute tasks in a high-pressure environment is crucial.

  • Conduct project post mortems and create a recommendations report in order to identify successful and unsuccessful project elements.

  • Define project success criteria and disseminate them to involved parties throughout project cycle.

  • Can conform to shifting priorities, demands and timelines through analytical and problem-solving capabilities

  • Ability to conduct research into project-related issues and products.


  • Bachelor's in a Business or Technical related field (Business Administration, Information Systems, Computer Science, Computer Engineer, etc.).7-10 years of experience in a Project Management or PMO role.

  • Must have experience with Microsoft Project, Excel and other reporting tools.

  • Knowledge of Software Development Life Cycle and/or Scrum methodologies

  • Experience in mentoring or coaching staff

  • Experience in developing and managing budget tracking

Preferred Qualifications:

  • Must have a proven track record of managing several projects simultaneously and keeping on track.

  • Must possess strong verbal and written communication skills.

  • PMP, PgMP, CSM certifications are good to have.

VIEW JOBS 9/6/2018 12:00:00 AM 2018-12-05T00:00 Classification Title: Manager, Operations Job Description: In 2014, the Maddie's Shelter Medicine Program partnered with the UC Davis Koret Shelter Medicine Program with support from Maddie's Fund to create the Million Cat Challenge, a shelter-based campaign to save the lives of 1 million cats in North America over the course of 5 years. The core strategy of the campaign was centered around 5 key initiatives that offer every shelter, in every community, practical choices to reduce euthanasia and increase live outcomes for sheltered and community cats. By the end of 4 years, more than 1,200 shelters had joined and collectively saved more than 1 million cats. This Phase 1 success led to a Phase 2 expansion of the project to include a deeper focus on one-on-one consultations in shelters, development and dissemination of digital training materials, and broader recruitment reach to engage more shelters where cats are most at risk for euthanasia with the goal of ensuring that every cat presenting to a North American shelter experiences the right care and the right outcome. The MCC Program Manager will support the Phase 2 expansion (3 years) by managing the work of the UF team to assure the success of multiple projects, including shelter consultations, website management, data accrual/validation, recruitment, event planning, and outbound communications. The manager will coordinate projects with the equivalent position at UC Davis, the work of multiple offsite consultants, and faculty/staff at UF by establishing and tracking project work plans and team calendar; developing an organizational structure that ensures that work is identified, owned, and continues moving forward; facilitating effective team communication and operations; prioritizing projects in balance with team capacity and workload; scheduling and facilitating meetings; contributing to the development and maintenance of a strategic plan; assisting as needed with execution of tasks, reporting, and management of partnerships. Project Management: Maintains overall strategic plan Develops, implements and maintains a centralized project management system that captures and tracks team commitments Evaluates and prioritizes incoming workflow in the context of existing commitments and makes recommendations Establishes project work plans and calendar; monitors, reviews, and evaluates progress Monitors record keeping and file maintenance for projects Prepares records of project activities for reports and communication activities; oversees and ensure the timely preparation and delivery of reports and other project materials Identifies, evaluates, supports, and solves complex issues related to the program.
