Overall Responsibility

The Sr. Payroll Specialist is responsible for the organization's daily payroll operations and ensure that all payrolls are processed in a timely, accurate and efficient manner along with payroll compliance, PTO and attendance management, payroll tax reconciliation, weekly, monthly and annual reporting and audits, new hire onboarding, offboarding and all other employment transactions.

ESSENTIAL FUNCTIONS AND AREAS OF RESPONSIBILITY:

  • In-House Payroll Compliance Expert

  • Ensure compliance with all State, Local and Federal Payroll Regulations

  • California and New York are key states - communicate updates quarterly to the team with compliance reviews and/or recommendation with a plan to implement new processes.

  • Review and reconcile all payrolls before processing.

  • HRIS system Manager

  • Facilitate multiple payrolls (weekly, bi-weekly, monthly & special payrolls)

  • Perform routine tasks required to administer and execute human resources procedures and programs including but not limited to, HRIS maintenance, weekly and monthly headcount reports. seamless onboarding and off boarding, PTO maintenance, Time and Attendance management, benefits administration changes, personnel filing.

  • Monitor local, state, and federal wage and hour laws and ensure compliance. Communicate updates and identify potential problems with recommended strategies at monthly team meetings.

  • Actively participate in completing and reviewing applicable monthly and annual compliance reports.

  • Prepare, compute and produce requested metric reports for senior and executive management.

  • Assist with audits from various departments including but not limited to; SOX, JSOX, ERISA, 401k, W&H, and Workers Comp

  • Maintain job descriptions in HRIS.

  • Maintain employee documents/files for recruiting, hiring, transfers, promotions, employment changes in a timely, organized manner to update monthly and annual compliance reports.

  • Maintain knowledge of trends, best practices, regulatory changes, and new technologies in human resources, payroll, compensation and employment law.

  • Manage year-end payroll process and distribute W-2 forms.

  • Maintain employment law posters in all facilities.

  • Create and maintain SOPs for the day-to-day payroll operations.

Ancillary responsibilities:

  • Assist in the overall management and maintenance of Concur expense system.

  • Assist in the overall management and maintenance of Nikon Fleet program.

  • Assist in facilitation of weekly, bi-weekly, monthly, and annual benefits administration when needed.

  • Create and implement events, incentives, programs, engagements for building corporate morale.

  • Participate in key HR and DEI projects and new initiatives.

  • Partner in maintaining employee relations for all employees and management involving counseling, problem solving, enhancing communication, training, and career development in multiple locations.

  • All other duties as required or needed.

EXPECTATIONS

  • Personal ownership and accountability of the HRIS system and payroll processes

  • On-time payroll processing including compliance with all states and federal regulations

  • Fluid processes with onboarding, offboarding and employment transactions

  • Seamless integration with benefits administration, Paid time Off and time & attendance modules

KNOWLEDGE, SKILLS & ABILITIES:

  • 5+ years' payroll experience with an HRIS required.

  • Demonstrated experience with ADP payroll.

  • B.A. in Human Resources or related field preferred

  • Certified Payroll Professional (CPP) preferred but not required.

  • Demonstrated knowledge of FLSA, EEOC, ADA, FMLA, WC, WTPA, NYSPFL & DLSE

  • Knowledge of principles and procedures for personnel recruitment, selection, training, compensation and benefits and personnel information systems.

  • Strong Business Acumen and Relationship Management

  • Strong business aptitude to assist in process improvements.

  • Proficiency with Microsoft Office (Microsoft Excel, PPT, Outlook and Word)

  • Exhibits resourcefulness, independent action, and professional judgement

  • Professional affiliation supporting human resources, compensation and/or training, i.e., American Payroll Association (APA), Society of Human Resource Management (SHRM)

  • Ability to handle sensitive confidential information with discretion.

  • Demonstrated ability to prioritize and plan work activities proactively and independently.

  • Demonstrated ability to proactively evaluate, select and act on various methods and strategies for solving problems.

  • Demonstrated ability to work independently under challenging situations

  • Ability to communicate verbally and in writing so that others will understand.

  • Ability to actively participate, share responsibility and contribute to the capability of the team.

  • Ability to consistently maintain a professional and an approachable demeanor across the Company including but not limited to, employees, co-workers, management, and vendors.

  • Ability to travel to other Nikon facilities when necessary.

  • Ability to work outside of regularly scheduled work hours as needed, in order to fulfill essential functions and responsibilities.

Compensation depends on a variety of factors including but not limited to; knowledge, skills, experience, education and location. The range for this position is $90,000- $110,000 annually.
