Summary:

The Sr. Meetings & Special Events Planner manages the execution and logistics of tradeshows, meetings, and exhibitions to achieve business objectives. This position works closely with internal teams to develop and execute the corporate tradeshows, sponsorship programs, customer visits and FBD sponsored events to ensure successful execution.

Essential Duties and Responsibilities:

  • Coordinate cross-functional teams for on-site events & ensure key goals are identified and achieved.

  • Responsible for establishing & adhering to the individual and overall event budgets.

  • Negotiate with vendors and establish relationships with repeat and/or favored vendors.

  • Research site locations for suitability, prepare bid comparisons, review contracts for facilities, transportation, entertainment, events, and related activities.

  • Coordinate arrangements with vendors and site logistics as needed for trade shows and other events.

  • Maintain show schedules, checklists, and processes through exhibit management templates.

  • Support the creation and delivery of pre- and post-show communications.

  • Ensure all internal and external events adhere to brand standards, using FBD's vision, purpose, and values as the guide.

  • Responsible for storage & maintenance of current tradeshow materials & promotional products.

  • Travel to and support onsite execution and management of key events, including show set-up and take-down.

  • Track expenses and assist in completing financial reconciliation.

  • Ensure processing and distribution of show leads in the Customer Relationship Management (CRM) system.

  • Maintain professional and technical knowledge by attending educational workshops, reviewing professional publications, establishing personal networks, and participating in professional societies.

  • Perform other duties as needed and assigned.

Minimum Qualifications:

  • Bachelor's Degree in Marketing, Business or related field preferred.

  • Must have a minimum of 5 years of relevant experience.

  • Ability to work in a fast-paced environment, with multiple and changing priorities while maintaining strong focus on execution and results.

  • Excellent written and presentation skills.

  • Strong organizational and planning skills.

  • Detail-oriented with excellent follow-up, budgeting, and time management skills.

  • Adept at handling multiple complex projects simultaneously under pressure to meet tight deadlines.

  • Knowledge of marketing communications and graphics a plus.

  • Proficient with MS Office (Word, Excel, PowerPoint, and Outlook).

  • Knowledge of CRM system a plus.

  • Ability to travel up to 40% of the time.

  • Must have collaboration and excellent communication skills because of daily contact with internal employees and customers.

  • Must be able to pass a background check, drug test and a reference check.

Physical Demands:

  • Required to have eye/hand/foot coordination, sit, type, occasionally, stand, walk, lift, push, pull, carry, reach, and grasp.

  • Ability to lift and/or move up to 20 pounds.

  • This position works in a typical office and manufacturing environment.

  • Clarity of vision including the ability to appropriately differentiate colors.

  • Ability to hear, understand, and distinguish speech and other sounds.
