Job Description:

BASIC FUNCTION: The Sales Manager is responsible for a combination of business development priorities which include sales system management and optimization, business intelligence analytics, e-commerce initiatives, direct sales and account management in alignment with a defined deployment. Primary responsibilities include a core focus on the group sales systems, data analytics, business intelligence reporting, and overall support for revenue generation services and total revenue management. Additionally, leveraging the insight garnered from business analytics to identity and execute on demand/revenue generating initiatives via social media, point of sales communications, online promotions and direct sales efforts. In some cases, this could involve close interaction with group, business transient and catering sales managers to surface qualified business opportunities within their deployment.

QUALIFICATIONS: EDUCATION, KNOWLEDGE, TRAINING & WORK EXPERIENCE

High school diploma or equivalent.

College degree preferable or equivalent work experience.

Prefer experience in hotel sales or related industry.

Excellent written and oral communication skills.

Ability to present ideas, expectations and information in a concise, well-organized way.

Ability to manage time, prioritize tasks and work independently.

Ability to analyze reports and data and make forward-thinking recommendations.

Computer skills, including but not limited to, Microsoft Word, Excel and Delphi. Prefer previous experience on property's PMS.

Aggressive, outgoing and self-motivating individual with pleasant personality.

ESSENTIAL FUNCTIONS:

Responsible for managing the optimal utilization and reporting from Amadeus Advanced (Delphi.fdc) and other supporting sales systems

  • Monitors and audits booking entry performed by sales, catering and conference planning to ensure quality and accuracy.

  • Maintains Delphi database - menus, room inventory, average checks and packages.

  • Manages function space and room blocks in Amadeus/Delphi to ensure the sales team manages both in a manner which optimizes utilization and revenue opportunities.

  • Maximizes the optimal use of the various systems supporting revenue generation and management.

  • Ensures the information in these systems is accurate and updated and enables the best reporting possible to support the analysis of business operation effectiveness.

  • Assist the DOSM with documenting sales and operations processes

  • Identify areas for process improvements and own improvement implementation roadmap

  • Assists with month end reporting.

  • Provides Amadeus/Delphi Technical support for individual users and serves as the property Amadeus/Delphi administrator

Responsible for business analysis and development to identify, assign and in some cases directly execute demand/revenue generating initiatives.

  • Develops and coordinates business intelligence reports to provide trending insight, identify emerging markets, demand forecasting and support optimal direct sales deployment.

  • Analyzes and tracks group spend, meal participation of attendees once group is on property for the purpose of assisting the DOSM / DORM in analyzing and determining what the most profitable business is for the property.

  • Ensure sales business development/goals are met. The hotel reserves the right to establish and revise goals due to changing business needs

  • Work with the DOSM to develop marketing communications strategies to engage customers through social media, online, and point of sales promotions.

  • Develop and continuously improve the social media strategy for the hotel

  • Interact efficiently and in real time to all relevant social platforms (Facebook, Instagram, Pinterest, YouTube, Twitter, Google Plus, etc.) and identify opportunities of engagement within the targeted audience.

  • Monitor social mentions online and take any action needed including direct response as appropriate via Trip Advisor.

  • Help to create and expand brand awareness on social networks according to the general overall social strategy and based on weekly calendar approvals.

  • Monitor closely what competitors are doing, which promotions, contests or initiatives are trending on social/online platforms

  • Work closely and collaboratively with the Branda and Home Office Marketing teams, corporate communications and social media content suppliers for the hotel.

Responsible for generating group, event and transient business opportunities through direct solicitation efforts as assigned /deployed.

  • Establish and maintain a positive, professional relationship with clients through effective, communication and action.

  • Effectively promote and market Hilton University of Florida Conference Center

  • Assist and support the DOSM and DOC with day to day solicitation efforts for new business and past accounts as directed for HUFG.

  • In conjunction with the Sales and Catering managers at HUFG, solicit and mine database information from the internet, Amadeus/Delphi and reader board resources for future business.

  • Attend weekly Sales meetings to observe and decipher need periods in which the sales and catering effort is needed to meet financial expectations.

  • Communicate with clients via telephone contact, written correspondence, and in person, our policies and procedures as they relate to the coordination of their events.

  • Seek out and respond to all sales inquiries in the established timely manner.

  • Ensure all necessary information is obtained from the client in a timely and accurate manner to support effective operational execution

  • Ensure all communication to other departments is produced accurately and on time. Communicate the following requirements to the appropriate departments according to the prescribed standard operating procedures:

  • Food and Beverage Requirements

  • Rooming List

  • Transportation Requirements

  • Meeting Room Set-Ups, Set by and Refresh times

  • Audio Visual Requirements

  • Recreational Requirements

  • Billing Information

  • Additional Information as necessary

  • Maintain both digital and physical client files, making sure they are kept organized and current with all information.

  • Manage assigned accounts with a bias towards creating customer loyalty, preferred positioning and stimulating revenue/business opportunities.
    4.Other Duties/Responsibilities Include:

  • Identifies positive public relation opportunities and emerging business markets

  • Motivates and actively contributes to a positive work environment

  • Establish, measure, monitor, and evaluate processes and polices

  • Understands how to develop action plans and manages work execution in a well thought out and measured manner.

  • Other duties as assigned

MARGINAL FUNCTIONS:

  • Perform other related duties as requested by the Director of Sales & Marketing and participate in task forces and committees as requested.

  • Practice safety standards and report unsafe conditions to the Director of Sales & Marketing.

  • Attend all Sales, Pre-Conference and Conference Review Meetings as needed.
