Accelerate your career by joining the Okta Marketing team as a Sr. Executive Assistant. You will be responsible for providing a wide range of administrative support for Okta's Chief Marketing Officer. You have a track record of providing proactive calendar support, scheduling travel, planning and coordinating events, juggling multiple priorities with competing timelines, taking effective and swift action, closely guarding confidential information, exercising excellent judgment and discretion, without necessarily having the full picture of the projects and issues at hand. You will work closely with the Marketing Leadership Team and collaboratively across functional groups and all levels of the organization. The ideal candidate will be exceptionally organized, proactive, reliable, detail-oriented, and resourceful.

This role requires onsite presence in our Bellevue Office, Tuesday-Thursday.

Responsibilities:

  • Manage the daily schedule of the CMO - coordinate all meetings, including but not limited to, team meetings, offsite meetings including customer, partner, and meetings across global time zones.

  • Coordinate domestic and international travel, process expense reports, and assist with management of budget needs.

  • Drive the rhythm of the business in close partnership with the Chief of Staff, including agenda management, notes, logistics, and follow-ups.

  • Lead, drive. and execute on various team events, socials, offsite meetings, etc. Schedule and coordinate logistics for meetings, conferences, and special events (onsite and offsite).

  • Act as a liaison for assigned executives relaying and exchanging information with others including: senior leaders, customers and clients, and other organizations or constituents.

  • Anticipate the executive's needs and proactively assemble the appropriate people and resources to solve problems.

  • Field incoming requests, exercise strong judgment and discretion with highly confidential information.

  • Work cross-functionally to ensure communication is efficient and clear between teams.

  • Organize, prioritize, and coordinate multiple work activities with demonstrated ability to meet deadlines.

  • Providing backup support for other AAs/EAs in the department

  • Having a pulse on team morale and needs to cultivate culture and community within the team.

Qualifications:

  • 3+ years of experience supporting a C-level leader in a fast-paced environment

  • Expectation of complete confidentiality on all business matters.

  • Ability to actively manage projects in a fast-moving, high pressure environment.

  • Flexibility working independently or partnering with a variety of teams.

  • Flexibility to provide support during out of office hours may be required.

  • Flexibility to travel as needed (up to 25%)

  • Proven ability to interact in a professional manner with executives, customers, prospects, and internal team and stakeholders.

  • Ability to be flexible in response to changing priorities and needs.

  • Experience with web-based scheduling and collaboration tools, including Slack and Google Workspace.

  • Extensive experience with arrangement of complex schedules and logistics across multiple time zones.

  • Ability to work on multiple projects, lead priorities, and accurately set expectations.

  • Extraordinary time management skills and attention to detail.

  • Strong communication, planning, organizational and analytical skills.

  • Ability to quickly learn new tools and technologies, interest and experience in using technology and the internet to improve work efficiency.

  • Ability to effectively communicate and collaborate with a diverse range of people and job functions.

  • Excellent verbal and written communication skills.

  • Ability to remain energetic and positive in a fast-paced and demanding environment.

  • Entrepreneurial spirit and desire for constant improvement.

  • Excellent common sense, ability to make appropriate judgment calls autonomously, and with the ability to anticipate next steps.

Below is the annual base salary range for candidates located in California, Colorado, New York and Washington. Your actual base salary will depend on factors such as your skills, qualifications, experience, and work location. In addition, Okta offers equity (where applicable), bonus, and benefits, including health, dental and vision insurance, 401(k), flexible spending account, and paid leave (including PTO and parental leave) in accordance with our applicable plans and policies. The annual base salary range for this position for candidates located in California (excluding San Francisco Bay Area), Colorado, New York, and Washington is between:$93,000-$139,000 USD The annual base salary range for this position for candidates located in the San Francisco Bay area is between: $104,000-$156,000 USD
