Your Focus:

Lead the Corporate Event Management function and direct the management and execution of more than 60 annual corporate-level, Business Unit and C-suite events and meetings.

Manage all event supplier relationships. Direct 3rd party providers and contractors to deliver programs, services and support resources to meet and exceed event and executive expectations. Negotiate all supplier/hotel/venue contracts, scope and manage budgets.

Provide guidance and leadership to Event team, administrative assistants and other Equifax stakeholders for internal meeting planning including sharing of best practices, and serve in a consultant capacity to ensure appropriate guidelines are followed with vendors, hotels, contracts, transportation companies, etc.

Principal Duties and Responsibilities:

  • Lead event management function of event planners and execution of more than 60 annual corporate-level, Business Unit and C-suite events and meetings.

  • Negotiate contracts and manage relationships with outside vendors.

  • Research and recommend locations for events through partnership with Helms Briscoe and provide cost estimates as applicable.

  • Plan, manage and execute all operational and logistical functions related to C-suite meetings.

  • Collaborate with internal and external clients to establish goals and objectives for all meetings.

  • Align resources to support all events, including communications, speakers, AV equipment and staging, web registration, hotel arrangements, etc.

  • Oversee management of the Sharepoint site and maintain current information on site to be a resource to others who plan/manage meetings.

  • Manage overall tracking of meetings being planned outside the Event Planning department, to ensure proper contract procedures, and overall compliance with company policy and the Equifax brand.

Minimum Requirements:

  • At least 10-15 years of event planning experience

  • Proven experience working with C-suite executives, including, but not limited to the CEO and Senior Leadership Team

  • Experience negotiating complex vendor contracts (hotel, transportation companies, event vendors, etc.)

  • Proven budget management of large meetings and events

  • Travel up to 20%

Education Requirements:

  • College degree in Marketing or related field
  • CMP(Certified Meeting Professional)

Required Skills:

  • Excellent project management and results oriented skills

  • Ability to interact with all executive levels, including the CEO

  • Possess the highest level of integrity, ethics and professionalism

  • Flexibility to react quickly in a fast paced high growth environment

  • Detailed working knowledge of Microsoft Office Suite (Word, Excel, PPT, Access)

  • Experience with meeting management software (Cvent preferred)

  • Working knowledge of project management software, such as Clarizen, etc.

  • Familiarity with other event technology (mobile apps, virtual environments, etc.)

  • Ability to address complex issues utilizing a clear and thoughtful manner and come to a resolution quickly without jeopardizing the event or relationships with people involved.

  • Sensitivity to private and privileged information

Job Overview/Summary The Program Manager is responsible for the planning and implementation of full pre- and post-program event management. The Program Manager is the main client interface and provides event execution and team oversight. The Program Manager works with various vendors and internal departments to deliver exceptional customer service with ROI reporting post event execution. Key Responsibilities * Responsible for event strategy development. * Primary POC for meeting/event planning support requirements, management requirements, and program delivery. Includes direct responsibility or outsourced vendor oversite for site selection, vendor negotiation, event registration and post-event reporting. * Maintain outsourced vendor relationships. * Negotiate with hotel, transportation and leverage air travel providers to support and obtain maximum discounts and benefits for company meetings and events. * Provide supplemental support for corporate events as required. * Maintain key internal client relationships. * Liaise with internal clients to identify ongoing needs and ensure services delivered consistently meet or exceed company and customer expectations. * Responsible for program support resources to ensure execution within established budgets. * Ensure compliance with insurance, legal, health and safety obligations. * Responsible for post-event reconciliation including receipts, vendor invoices, and other associated documentation. * Responsible to develop and maintain program metrics and management reports. * Oversee process and strategy for delivery of On-Site Meetings and Events * Manage Onsite Meeting Event Support Staff and vendor partners Key Skills, Abilities and Experience Required * BS/BA * 5-7 years managing corporate meetings and events programs. * CMP preferred. * Exceptional project management and communication skills * Strong negotiation and contracting skills. * Strong ability to work as part of a team and manage multiple projects simultaneously. * Ability to communicate and work across all levels of the organization. * Ability to influence and drive consensus. * Customer service experience required * Ability to learn and use CVent or SMMP Tool required * Ability to travel as needed Required Education More about Finance Ready to keep learning?
