Bussiness Technology & Solutions (BTS) is a diverse team that supports infrastructure and other foundational initiatives that span and support Sales, Marketing and Support teams within AWS.

The Sr. Custom Contract Specialist will support AWS Professional Services and AWS Legal by operationalizing the Statements of Work (SOW) contract creation process. We're looking for a motivated self-starter who's passionate about managing operational processes, analyzing trends and recommending and implementing process improvements.

This is a unique role, with similar functions to a business operations analyst and a contract analyst. The candidate will work side by side with AWS Legal to ensure SOWs meet legal requirements. Additionally, you will support AWS Professional Services by providing operational and administrative guidance, enabling them to provide an outstanding customer experience.

The successful candidate must be inquisitive, enthusiastic about technology, like being continually challenged, demonstrate sound judgment, and attention to detail. You should have an interest in working in a space, where legal meets business.

Key Responsibilities:

  • Own the SOW process, creating documentation, gathering approvals, tracking status and communication between key parties.

  • Retrieve and analyze data using Excel, and other data management/BI Systems

  • Support weekly, monthly, quarterly and annual reporting

  • Proactively identify and implement operational improvements and enhancements that meet business requirements

  • Communicate daily with cross functional teams including Sales, Legal, Operations and Management

  • Recruit, onboard, train and influence Contract Specialists

  • Create and maintain standard operating procedures

  • Drive continuous process improvement while developing relationships for long term solutions

  • Conduct quality assurance audits

  • Become the SOW creation subject matter expert

General Summary: The Billing and Contract Specialist for Conference Services is responsible for all relevant financial operations, processing, and accounting for Conference Services, both on SPU's campus and at Camp Casey Conference Center on Whidbey Island. The Account Coordinator is also responsible for the management of the SPU Guest Apartment, and for reviewing and in some cases preparing contracts for campus clients. Work station is on campus at Seattle Pacific University. Job Description: * Invoices all Conference Services clients, both on Campus and at Camp Casey Conference Center on Whidbey Island maintaining a working knowledge of campus and Casey clients, especially for groups with special billing needs, as well as verifying data for lodging, meals, catering and miscellaneous charges (including lost/damaged cards) in the conference services software. * Receives and tracks payments from clients and transmit these to the SPU Finance Department. Ensures that deposits and account payments are received from clients within contract payment terms (send reminders as necessary) and applied to the appropriate invoices and accounts. * Reconciles internal financial tracking of accounts receivable and deposit liability accounts with reports from Finance. Reconciles lodging, food service, Quikpay, and other internal financial tracking as needed with working papers, and reviews margin analysis notes from OUS Finance and Budget Manager. Prepares and submits documents (uploads) to Finance as needed. * Prepares and tracks payments for vendors. This includes verifying through-the-line meals and catering charges and providing weekly reports to Dining Services, as well as preparing weekly payments for Camp Casey food service vendor. * Reviews contracts and required documents to ensure certificates of insurance and signed contracts have been obtained from all clients prior to arrival. Prepares contracts for recurring clients as needed. Checks that room reservation software accurately reflects contract data and answer general client questions about contract terms as needed. * In addition to duties listed above, responsible for tracking lodging numbers ("Bednights") throughout the summer season on campus. Trains and helps oversee 1-2 student workers during the summer months. * Manages all aspects of billing and collections for the University Guest Apartment and Summer School Housing. (Student workers may also be trained to help with these two categories). * Supports the Assistant Director in compiling financial data as needed. * Assists the Assistant Director of Conference Services in the advertisement, scheduling, interviewing, and hiring process for student employees for the Summer Quarter season. Assists with summer client preparations as needed. * Provides coverage for Conference Services main line telephone as needed. Attends regular meetings with Assistant Director of Conference Services and Manager of Conference Services at Camp Casey. Requirements: * Associate's degree required, bachelor's degree preferred. * At least one year of experience in an administrative role. * At least two years of work experience in a billing, budget management, or bookkeeping role is preferred. * Proficient with Microsoft Office products including Outlook, Word (intermediate user), Excel (intermediate user) and familiarity with financial software. * Experience with EMS Campus or StarRez, a plus.
