Position Summary & Responsibilities
Position Summary:
The Senior Administrative Specialist will assist the Demonstration Project Manager to coordinate collaboration and communication between the Demonstration Project and the existing efforts to implement the CCBHC model in Kansas (including entities external to the CMHC system). The incumbent manage communication between KDADS BHS staff and external entities. The incumbent will manage the creation of progress reports, meeting notes, and site review packets. The incumbent will oversee the scheduling of review visits, site visits, and other State travel-related needs. Incumbent will assist with the oversight and tracking of grant funds, team expenditures, and other funding as needed.
Job Responsibilities may include but are not limited to the following:
Collaboration
Manage KDAD's relationships with the Association of Community Mental Health Centers (ACMHCK), and Community Mental Health Centers (CMHCs) to successfully implement the SAMHSA CCBHC model. Represent KDADS to external organizations interested in the CCBHC model. Work with the technical assistants to coordinate meetings with external stakeholders to educate State and Local leaders about the CCBHC project in preparation for Demonstration.
Communication
Direct the coordination of activities related to baseline reviews and full certifications reviews conducted by the Quality Assurance team. Duties include managing the team's interview scheduling, providing regular reminders on deadlines, disseminating information to the CMHCs/CCBHCs, and providing input on continuous quality improvement plans.
Data Collection, Input, & Management
Support the Demonstration Project Director, technical assistant(s), quality assurance staff, and CCBHC team by leading the organization and documentation of progress of entities as they move toward being certified as a CCBHC; including, but not limited to, supervising the writing of reports, overseeing the creation of presentations around CCBHC criteria, and facilitating calls and meetings between KDADS and external entities.
Budgeting/Finance
Oversee funding provided to the CMHCs/CCBHCs for CCBHC expansion and implementation. Submit invoices from CMHCs/CCHBCs for prompt payment. Using Excel, track expenses of the Demonstration Grant and other grants to provide an audit trail of expenditures. Ensure compliance with all aspects of grant administration.
Special Projects
This position will manage all travel for CCBHC Planning Grant Staff and Medicaid funded staff. Duties include, advising employees on travel documents and travel policies. Additional duties include, booking flights, hotels and rental cars, recording travel activities, assisting with completion of KDADS1 form and registrations, lodging reservations, vehicle rentals airfare reservations and travel authorizations.
Qualifications
Minimum Qualifications:
High School Diploma/GED
Four years of experience in general office, clerical and administrative support work.
Knowledge and/or passion for mental health
Strong communication and writing skills.
Experience with Microsoft Excel and/or budgeting
Travel Required (up to 20%)
Preferred Qualifications:
Experience of grants management or experience working on federal grants
Experience working with public health, social services, or Community Mental Health Centers in Kansas
Extensive knowledge of and experience with issues surrounding behavioral health services and social services
