Provides exceptional support and service to senior management through all mediums including correspondence, presentations, manuals, newsletters, meetings company activities, etc.


  • Creates, proofs, revises and edits written material as needed.

  • Handles internal and external correspondence.

  • Makes travel arrangements.

  • Creates and maintains departmental filing systems.

  • Answers telephone lines.

  • Updates calendars.

  • Uses and coordinates maintenance for local office equipment.

  • Coordinates logistics for meetings, net meetings and conference calls: location, communication, resources, etc.

  • Serves as Scribe for meetings as needed.

  • Maintains department logs, reports, and/or data entry for functional databases.

  • Cross-trains and learns other responsibilities within the team and provides assistance as needed.

  • May assign work and guidance to entry level Administrative Assistant.

  • Builds professional relationships with customers and other teams.

  • Performs other duties as assigned.

QUALIFICATIONS (Education, Experience, and Certifications)

Typically Required:

  • Requires high school diploma; college is a plus.

  • Requires 2+ years of experience as an administrative assistant, working with multiple Directors.

  • Excellent PC skills and continuing education in latest technology in software or hardware.

This mid-level, fast-paced position will serve to support members of Brown and Caldwell's Risk Management and Health & Safety leadership teams within our environmental engineering organization. In this role, you will manage the day-to-day operations for senior leaders and work closely with them on their strategic program initiatives. This position requires a proactive and highly organized individual with strong relationship, communication and project management skills to successfully engage teams and departments to meet goals. Work will include support to the Enterprise Risk Manager, Health & Safety Program Director, and Risk Analyst and will require routine interaction with various business groups within the company. This position will be based out of our Orlando/Maitland, FL office. Relocation assistance is not currently being offered. Core Responsibilities: * Provide administrative support and assistance including management of Enterprise Risk Manager and Health & Safety Program Manager calendars. This will include setting up travel, meetings, speaking engagements (workshops), and scheduling calls. In addition to making appointments, this will also involve resolving scheduling conflicts and making sure the managers know where they need to be and when. * Problem solving/troubleshooting - informs managers of important information, decisions, and deadlines throughout the day and anticipates and manages related necessary organizational adjustments, preparing managers to successfully plan and execute their daily tasks and work. * Processing and re-prioritizing work as business needs change - communicates and adjusts changes accordingly * Supports and executes complex projects as assigned - coordinating, tracking, and analyzing budgets; researching information; updating databases and organizational charts; creating monthly reports for analysis; and managing complex work flows. * Correspondence – Coordinates and composes the preparation of letters, reports, spreadsheets, agendas, meeting minutes, presentations and other complex and sometimes time sensitive documents, attention to accuracy, detail, confidentiality while protecting the managers' ability to successfully accomplish business goals and objectives. * Duties are complex and confidential requiring the highest level of discretion and independent judgment. The person in this role will have contact/communication with senior levels of management. * Review operating practices and implement improvements where necessary * Conduct research, collect data for analysis and report development, as directed * Additional duties as needed Desired Skills and Experience: * Bachelor's degree in Business or Communications plus 3 or more years of administrative experience supporting a Department/Division Leader or equivalent combination of education and experience ideally in a similar setting or industry. * 2+ years of experience in the A/E/C Industry or similar is strongly preferred. * Advanced skills in MS Office products including Excel, Word, PowerPoint, Access, Project, and Outlook; proficiency with Internet applications * The ability to be forward-thinking, anticipate next steps and work in a fast-paced environment. * Detail-oriented individual with strong organizational skills and ability to follow through is essential. * Strong interpersonal skills with ability to maintain client relationships, both internal and external (in person and by telephone). * Excellent written communication skills including proper grammar and professional writing. Technical editing/writing experience a plus. * Ability to be resourceful in researching issues, solving problems, and offering creative solutions. * Must be proactive, self-motivated, able to multi-task, prioritize, work both independently and in a team environment, and under deadline pressures.
