Provides exceptional support and service to senior management through all mediums including correspondence, presentations, manuals, newsletters, meetings company activities, etc.


  • Creates, proofs, revises and edits written material as needed.

  • Handles internal and external correspondence.

  • Makes travel arrangements.

  • Creates and maintains departmental filing systems.

  • Answers telephone lines.

  • Updates calendars.

  • Uses and coordinates maintenance for local office equipment.

  • Coordinates logistics for meetings, net meetings and conference calls: location, communication, resources, etc.

  • Serves as Scribe for meetings as needed.

  • Maintains department logs, reports, and/or data entry for functional databases.

  • Cross-trains and learns other responsibilities within the team and provides assistance as needed.

  • May assign work and guidance to entry level Administrative Assistant.

  • Builds professional relationships with customers and other teams.

  • Performs other duties as assigned.

QUALIFICATIONS (Education, Experience, and Certifications)

Typically Required:

  • Requires high school diploma; college is a plus.

  • Requires 2+ years of experience as an administrative assistant, working with multiple Directors.

  • Excellent PC skills and continuing education in latest technology in software or hardware.

This environment is a fast paced Inbound Call Center for a well-known medical company. We pride ourselves in becoming the largest dermatology practice in the country, with no plans on stopping! The role of the Administrative Clinical Coordinator is to assist our patients via phone and internet. Job duties will involve indirect patient care, as well as a variety of support functions of the clinic. ESSENTIAL DUTIES AND RESPONSIBILITIES * Reports to the Director of Mohs services out of the home office * Schedules appointments for patients including office visits and surgical appointments * Communicates with the office and providers to facilitate quality patient outcomes * Maintains provider protocols for handling patient's concerns and scheduling of appointments * Respond timely to post-op calls; respond to all post-op calls by end of day * Maintains tracking logs which will also include results received, communications with patients, and follow-up required * Be able to help in any clinical office as needed * Attend staff meetings and complete mandatory in-service education/training * Perform other duties or special projects as required or as assigned by Management KNOWLEDGE, SKILLS, AND ABILITIES * Ability to practice confidentiality and follow HIPAA regulations with patient information * Knowledge of medical terminology and ability to use appropriately * Ability to manage time efficiently, prioritize, multi-task, and adapt to change * Ability to maintain high level of accuracy in all documentation and in the performance of all job duties EDUCATION * High school diploma or GED required * Completion of Medical Assisting course required PREFERRED EXPERIENCE * Previous experience as a Medical Assistant * One year previous experience in a dermatology clinic * Previous experience with electronic health records Compensation/ Benefits: * Incentives and Referral Program * Benefits packages * PTO/6 Paid Holidays/Floating Holiday/Vacation Time * 401K ADCS Clinics LLC participates in equal employment opportunities for all individuals and abides by EEOC and nondiscrimination provisions of all applicable federal, state, and local laws and regulations.
