Collins Aerospace is searching for a professional individual to join our dynamic Commercial Avionics, Military Avionics and Helicopters, Rotary Wing Solutions team as a Sr. Administrative Assistant based in Huntsville, Alabama under direct supervision of the Associate Director of Programs and Site Lead.

This role will provide administrative and site support to the Associate Director of Army Rotary Wing Programs and will also support employees of the Rotary Wing Solutions business, to include multiple leaders and their staff. This individual will support a wide variety of site activities, program activities, organizational activities, and customer focused activities by participating in or conducting the planning and coordinating. Works with the facility manager to maintain the site in accordance with safety and security regulations.

Primary Responsibilities:

  • Interfaces with all levels of Collins personnel and external contacts to coordinate team efforts and exchange information requiring moderate interpretation or discussion.

  • Can work in a confidential and highly responsive relationship with management at a more senior level of responsibility and discretion.

  • Types and assembles data (i.e. tables, charts, reports, and memorandums) from verbal or written instruction; applies basic knowledge of equipment capabilities to plan details of formatting, spacing and page lay-out.

  • Proofreads typed data ensuring proper spelling, punctuation, and grammar usage; may perform minor document revisions to ensure clarity.

  • Composes letters, memorandums, and recurring reports without dictation, for appropriate signatures.

  • Support with computer-based tools, including scheduling of conference rooms, maintenance of distribution lists, scheduling meetings (live and virtual), and distribution of electronic media.

  • Establishes, maintains, and revises team files, including web-based files on TeamSpace and/or ALM Confluence, OneDrive, Microsoft-based files; maintains control files on confidential or high priority matters and follows up on outstanding issues when required.

  • Receives and prioritizes telephone calls, business visitors, and incoming mail, routes mail and inquiries to proper personnel.

  • Maintain calendars, schedule appointments, arrange departmental meetings/conferences, and attend meetings to take notes.

  • May prepare materials for executive meetings.

  • Responsible for support and coordination of employee moves, maintenance, coordination, and facilitation of new-hire activities.

  • Arrange events, VISA process for travel, travel, hotel reservations and prepare expense reports when required.

  • Performs as an integral member of the Collins facility security in accordance with the facility security plan to include entry of visitors into visitor's log, verify status of visitors for entry to the facility, issue and manage visitor's badge system.

  • Order, arrange and establish a master list to track office stationery and pantry supplies.

  • Support Value Stream Managers and Engineering Managers on any ad hoc projects as and when required.

  • Support facility functions and support activities on any ad hoc projects as and when required.

  • Ability to resolve routine inquiries/problems, escalate complex/challenging issues to higher levels for further discussion as well as to undertake any new tasks as assigned.

Qualifications/Experience Required:

Typically requires an AA/AS degree (or other 2-year post high school training) with a minimum of 6 years of relevant experience OR In the absence of a HS diploma, GED or AA/AS degree, 8 years of relevant experience is required OR A Bachelor's degree in the appropriate discipline and less than 2 years of relevant experience.

U.S. citizenship is required, as only U.S. citizens are authorized to access information under this program/contract.

Preferred Qualifications:

  • Prior and recent experience as a Sr. Administrative Assistant

  • Proficiency with MS Office, scheduling, Teams, etc.

  • Demonstrated embodiment of a positive mindset along with sense of urgency and ownership.

The salary range for this role is 44,000 USD - 102,000 USD. The salary range provided is a good faith estimate representative of all experience levels. RTX considers several factors when extending an offer, including but not limited to, the role, function and associated responsibilities, a candidate's work experience, location, education/training, and key skills.
