We are looking for a Sr. Administrative Assistant to provide administration and organizational support to senior leaders. You will be responsible for skillfully interacting with management within and outside of the company, comfortably communicating with customers, vendors and visitors and flawlessly handling confidential and critical details. You will also be responsible for anticipating the needs of the executive team and flexibly accommodating work schedules.


  • Collect and prepare information used for presentations and meetings for executive staff

  • Document meeting minutes as well as manage action items

  • Plan, organize and manage multiple calendars (resolve overlapping commitments and protect time for priorities)

  • Coordinate all travel arrangements, meetings, vendor and customer reviews, and special events such as department all-hands or off-sites

  • Answer phones, screen and document incoming calls, and redirect requests to optimize the management team

  • Reconcile expense reports and purchase requisitions submissions

  • Develop and manage meeting communications and cadence activities

  • Manage special projects for and with the senior staff

  • Provide back-up support for other executive administrators

  • Work with HR, Finance, Legal and other groups on reporting and reconciliation

Basic Qualifications:

  • 3+ years of experience working at the senior or executive level in an administrative or coordination role

Preferred Qualifications:

  • Experience with project and budget management

  • Experience with, Oracle, Selectica or cloud-based performance assessment tools

  • Experience supporting a large, rapidly expanding global sales organization

  • Expert knowledge of MS Office (Outlook, Word, PowerPoint and Excel)

  • Excellent communication, teamwork and organizational skills

  • Ability to take initiative and exercise good judgment, discretion and confidentiality in all tasks

  • Ability to quickly learn and adopt new technologies and processes

  • Ability to create and modify processes and scale best practices across the organization

  • Ability to confidently interact with senior and executive level management

  • Ability to work in a fast-paced, startup environment

  • Ability to effectively manage time, prioritize tasks and work within deadlines with little supervision

Monitors and ensures that all established administrative and operational processes and control standards are followed. In addition, performs basic analytical functions for purposes of contributing to the effective and efficient operation of the business group. KEY ACCOUNTABILITIES : 1) Professional Support (50%) 2) Financial Analysis and Support (15%) 3) General Office Administration (30%) 4) Personal Assistance (5%) SPECIFIC ACCOUNTABILITIES: 1) Professional Support Accountabilities: * Develops and leverages relationships across-LOBs, with executives, senior managers and external clients to foster and support intra-group coordination while carrying out accountabilities. * Prepares standard correspondence, reports and presentations, ensuring completed material is produced in a timely manner. * Interfaces with clients executives (CEO, CFO, or senior managers of that client's business) on behalf on business leaders in coordination of meetings, events, presentations, or pitches. * Senior Administrative Assistants are provided with a blackberry to monitor urgent requests when they are away from their desk and after-hours. After hours expectations are limited to checking for emails labeled 'urgent' and actioning these emails as necessary. If required to action an email, Assistants are expected to log their overtime per local legislation. After hours emails marked 'AM' require immediate action upon normal arrival time on the following day. 2) Financial Analysis & Support Accountabilities: * Monitors and analyzes project expenses to ensure they are within budget and reallocated to the appropriate expense/client code. * Acts as a conduit for the efficient flow of invoice processing for payment in adherence with department processes, guidelines and vendor agreements. 3) General Office Administration Accountabilities: * Maintains and monitors calendars of scheduled appointments, upcoming events and matters requiring immediate attention. Coordinates agendas, and dispatches meeting invitations and agendas to attendees, books meeting rooms and arranges for IT resources and refreshments in support of a smooth and efficient meeting facilitation. * Manages complex international multi-leg travel, often requiring continuous changes, and rescheduling. * Monitors departmental expenses and maintains an efficient filing system to ensure reports, correspondence and financial documentation are maintained and readily available. Establishes and maintains organized electronic filing systems to ensure that business and operational reports, forms, and other business documentation are readily available. * Responsible for timely and consistent maintenance of client contact database (Salesforce). Coordinates with Salesforce Business Analysts to produce customized reports, and ensure data quality is maintained on behalf of the business. Runs monthly reports and interfaces with internal departments on client mailings and external events. Runs weekly pipeline report. * Client Event planning and coordination as assigned by Events Manager. * Prepares and dispatches outgoing mail, interfaces with selected couriers to ensure packages have been delivered within established timeframes. Screens telephone calls and responds to routine and moderately complex inquiries. * Assists in planning, coordinating and implementing department events. * Performs back-up function for other administrative staff during vacation or other absences to ensure that administrative support is provided on an ongoing basis. * Maintains confidential client information for the business, team, or leadership and ensures information is handled appropriately. * As a member of the Administration team, participates in Administrative professional development sessions, town halls, committees and networking events. * Positively contributes to the LOB culture and sets the bar for Being BMO in the Administrative capacity. * Maintains open line of communication between Administrative Manager and LOB Manager. 4) Personal Assistance Administration Accountabilities: Personal assistance should be limited to being a good partner to the Executives. While items may be further defined between Executive and Assistant, the items should be limited in time so as not to exceed approximately 15 minutes per task or 5% of total week. Examples of personal tasks that will allow Executives to more easily conduct business include but are not limited to : * Picking up lunch when Executives are busy with calls or meetings during the lunch hours * Booking doctor or other appointments during the work day as part of calendar management * Submitting receipts for insurance reimbursement or approvals KNOWLEDGE AND SKILLS: Knowledge * Requires 3-5 years of experience in an administrative/ professional support function in a fast paced environment, dealing with moderately complex issues and managing conflicting priorities. * Undergraduate degree or post-secondary education preferred. Other professional related training and development to keep skills current, including office productivity software. * Seasoned broad business knowledge and deep understanding of the organizational unit, its functions and products, and customer groups. * Very good understanding of the processes, policies and procedures required for supporting the business unit. Skills * Ability to organize moderate amounts of business information and develop it into cohesive, professional reports and presentations, with little guidance and ability to recognize and respond to business related issues within the scope of the material. * Detail oriented, extremely well organized, and able to manage time and multi-task to accomplish a multitude of tasks, with conflicting priorities and timelines. * Advanced level PC skills (MS Office: Excel, Word, PowerPoint, and Outlook). * Advanced communication skills, both written and verbal. * Ability to deal with clients in a professional and courteous manner, and to develop and leverage professional working relationships. * Ability to leverage knowledge of the organization and the supported business unit's uniqueness, to carry out accountabilities. * Ability to work both independently and well as be a team player. * Ability to deal with confidential materials in an appropriate manner.
