The Senior Administrative Assistant will provide a wide variety of administrative support to Senior Leadership and team members of the External Affairs division. This role will align with leaders located in an overseas / international office and/or in Washington, DC. This role serves as the administrative liaison for all internal and external inquiries related to the assigned executive and/or Administrative department. You work well in a team environment with some shared department responsibilities assigned.

Duties may also include more traditional administrative / clerical support roles including: answering the telephone, typing / word processing of documents, maintaining calendars and setting up meetings, copying, faxing, greeting visitors, setting up files, tracking expenses, and coordinating building and equipment maintenance. This is a fast paced working environment that requires the ability to multi-task with attention to detail and excellent organizational skills.

Primary Responsibilities:

  • Possess strong verbal and written communication skills

  • Maintains Outlook calendars in current and accurate status

  • Schedule, coordinate, and/or set up catering, resources and technology needed for meetings / events

  • Coordinates meetings and conference calls as needed or anticipated

  • Coordinates travel arrangements and submits related expense reports

  • Answer phones promptly and uses good judgment to prioritize the distribution of messages in a timely manner

  • Performs general clerical duties to include but not limited to: photocopying, email / mail distribution and filing

  • Creates and modifies various documents using Microsoft Office, Excel and/or PowerPoint

  • Responsible for keeping inventory of all office supplies and placing orders for replenishment as needed

  • Records minutes at various meetings and archives them accordingly

  • Performs all other related duties as assigned

Required Qualifications:

  • High School Diploma / GED or higher level of education

  • 2 years of administrative support to multiple senior leaders in a corporate setting

  • Intermediate or greater level of MS Word, Outlook and PowerPoint proficiency

  • Experience working in a fast-paced, matrix organization

  • Experience providing administrative support in an international environment

Preferred Qualifications:

  • Bachelor's degree or higher level of education

  • Intermediate or greater proficiency in Concur, SharePoint, and Excel

  • Experience in a healthcare, external affairs, or government environment

  • Event Coordination expertise (catering, resources and technology coordination)
