JOB SPECIFIC COMPETENCIES

Provides direct administrative support to a highly productive clinical and research faculty and APPs

  • Coordinates, organizes, and carries out the day-to-day activities of the office, spending the majority of time on administrative support for assigned faculty and applying institutional policies

  • Maintains daily calendar of appointments and events

  • Composes and edits correspondence and other documents

  • Tracks CME, RME, and ethics credits annually per assigned faculty

  • Prepares and submits the Texas Standardized Credentialing Application every two years

  • Maintains and updates faculty CVs in the Institutional electronic system and NIH Biosketch and Other Support

  • Assists in preparation and submission of manuscripts, abstracts, book chapters, grants, and protocols

  • Assists in asset inventory and tracking faculty assets

Coordinates Travel arrangements and expense reimbursements

  • Makes travel arrangements, applying both institutional and departmental policies.

  • Prepares reimbursements for travel for assigned faculty and faculty assigned to other administrative assistants

  • Arranges conferences according to department specifications, including booking rooms, catering, and equipment

  • Submits reimbursements, monitors and balances the PRS budget activity per assigned faculty

  • Tracks annual extramural per assigned faculty

Weekly Timekeeping Activity for the Department of Emergency Medicine

  • Performs the weekly administrative timekeeping functions for the department including Kronos timekeeper, Web Schedule EM Time-Off calendar administration

  • Creates weekly vouchers for MDA Moonlighters and monthly vouchers for the part-time Clinical Specialists

Fiscal Activity and Financial Reporting

  • Prepares purchase requisitions as required for the procurement of items requested by the department or assigned Faculty in accordance with the Institution's purchasing guidelines

  • Track and maintain Faculty expenditures and use of PRS Development Funds on tracking system

  • Assists in the reconciliation of departmental charge capture/work queue to ensure revenue recognition is completely timely.

Other duties as assigned

EDUCATION: High school diploma or equivalent.

EXPERIENCE: Five years of administrative/secretarial experience. With preferred Associate's degree, three years of required experience and with preferred Bachelor's degree, one year of required experience. Must pass pre-employment skills test as required and administered by Human Resources.
