As a Senior Administrative Assistant, you will provide administrative support to leadership, management, a department, and / or division or business unit.

We are looking for:

  • A bachelor's or associate's degree

  • 5 years of experience in an office environment

  • Experience coordinating projects/or planning events

Key Competencies preferred, but not mandatory

  • Proficient with ArcGIS Pro

  • Familiarity with Esri Business Analyst

  • Experience gathering and maintaining spatial and tabular data

  • Ability to analyze and interpret data from many sources

Essential Functions:

  • Maintains and updates department's databases

  • Performs advanced, diversified, and confidential administrative functions requiring a high degree of independent judgement

  • Applies thorough familiarity with H-E-B and department policies

o Expense reconciliation

  • Plans and coordinates meetings, travel and real estate trips

  • Provides specialized support and independently manages the daily coordination of projects/process for Houston RE Department

o Wire Transfers

o Tour packages and maps

o Real estate update worksheet

o Sales model coordination

o Sign off sheet coordination

o Competition research

o Coding legal and engineering bills

o Manage real estate correspondence

o Capital project management

o ProjectMates data entry

  • Collects, compiles and analyzes information for inclusion in reports and presentations for team and leader usage

What is your background?

  • Associates/Bachelors Degree

  • 5 years of experience in an office environment, or comparable experience

  • Advanced knowledge of MS Office applications

  • Project, travel, and meeting coordination experience

  • Team player

  • Working knowledge in the operation, maintenance or office equipment (e.g. copiers/ printers, fax machines, conference room audio/video equipment etic)

(25%) Investigates environmental issues and incidents and recommends steps to reduce the frequency of events and to resolve compliance issues. Recommends resolutions to integrate environmental assessments of facilities into facility operations to ensure compliance with environmental requirements. (15%) Remains current on applicable environmental laws regulations, deadlines and permits affecting gas plant operations. Performs complex environmental work, requiring considerable exercise of independent analysis, reporting and judgment in environmental services. Coordinates environmental activities of consulting firms. (15%) Provides technical assistance to CalEnergy managers and supervisors. Maintains a specialized knowledge and expertise in air, water, or waste issues, and utilizes such knowledge in day-to-day functions. (10%) Develop environmental management systems to effectively manage the limitations and restrictions imposed by operating permits. Seeks and obtains required permits for operating the power operations for the gas plant facilities. Evaluates regulatory impact and develops environmental programs and processes. Provides technical input to assist in development of project planning. (10%) Provide oversight during plant outage activities. Ensure hazardous materials/waste labeling and processing is in compliance with environmental and safety regulations. (5%) Primary Job Duties and Responsibilities (Essential Job Function) The senior environmental compliance coordinator is responsible for maintaining environmental compliance. Works with operating unit personnel to ensure awareness of and compliance with environmental regulations, policies, procedures and company requirements, assisting the operating group in the development of solutions to environmental issues. Monitors chemical, physical and biological hazards that could be present. Investigates environmental incidents and reports incidents to appropriate regulatory agencies. Develops, conducts, implements and maintains appropriate training, educational courses and programs to enhance environmental compliance. Implements environmental compliance self-inspections and recommends appropriate action to facility management. Recommends improvements in processes, design, procedures and operations to minimize environmental incidents. Assists in maintaining facilities' environmental licenses, permits and authorizations. Coordinates the annual environmental inspections and takes a leadership role in correcting any findings. Key participant in regulatory audits. Responsibilities include submittal of all environmental reports in advance of deadlines including gathering operational information necessary to track, monitor and complete reporting requirements. Bachelor's degree in chemistry, environmental sciences, engineering, or related field and three to five years of environmental experience or equivalent work experience. (Typically six years of related, progressive work experience would be needed for candidates applying for this position who do not possess a bachelor's degree.) Five years of related work experience in environmental compliance. Background working in all environmental media. Demonstrated air, water, or waste/land use experience is required. A broad diversity of environmental work experience in private industry, governmental, and consulting is preferred. In-depth knowledge of applicable governmental laws and regulations. Ability to review and summarize complex regulations, with the demonstrated ability to implement environmental programs. Project management skills; ability to prioritize and handle multiple tasks and projects concurrently. Effective interpersonal skills and leadership abilities. Must demonstrate the ability to coordinate projects and work with others effectively in a diverse working environment. Excellent written and oral communications skills. Ability to establish and maintain good working relationships with government agencies, trade groups and other industries. Detail oriented. Excellent organization skills. Ability to prioritize environmental responsibilities.
