We are seeking a Sponsored Project Administrator and Accounting Assistant who will work closely with our faculty and staff to oversee and manage the lifecycle of various projects. This will include pre-award consultation, interpretation and communication of requirements both institutional and external, budget development, preparation of proposal forms, project submissions and reporting support for four areas:

  • The University Libraries

  • The Integrated Design, Arts, and Technology (IDeATe) program

  • The Entertainment Technology Center (ETC) program and

  • The CMU Sustainability Initiative.

The Sponsored Projects Administrator will manage gifts and grants funded by federal agencies, foundations, and corporations. They will work with the Dean, the leadership within each area, and closely with Principal Investigators on new and upcoming projects. This role will work very closely with multiple units on campus including but not limited to the Office of Sponsored Programs (OSP), Sponsored Projects Accounting (SPA), Office of Research Integrity and Compliance (ORIC), and other departments and offices. This role will also support the business offices in these areas by creating spending reports, purchase orders, and other financial transactions.

Core responsibilities include:

  • Provide support in the preparation, often against short deadlines, of budgets and other financial documents for inclusion in grant and other funding proposals

  • Serve as the liaison between PIs and the appropriate offices on campus throughout the lifecycle of a project (pre-award through post-award reporting)

  • Guide PIs through research compliance and other regularly aspects of sponsored proposals

  • Regularly provide accurate financial reports for sponsored projects

  • Accurately track grants and contracts to ensure compliance with regulations and spending limits.

  • Assist with the interpretation, implementation, development and reinforcement of departmental/university policies and procedures for program funding related to grants/gifts.

  • Review sponsored project reconciliations and work with faculty to accurately close-out awards.

  • Provide faculty members with various options and scenarios that can be used in a proposal's planning or execution of the project.

  • Maintain open lines of communication with sponsors.

  • Assist with procurement processes and transactions across each area.

Qualifications:

Required

  • Bachelor's Degree in accounting, finance, or related field

  • Equivalent combination of education and/or experience may be considered.

  • 1-2 years of research administration/accounting experience

  • Similar work experience may be considered.

Preferred

  • Three (3) years of related experience

  • Prior experience with federal proposal development and awards administration

  • CRA Certification

Requirements:

  • Successful background check
