Under direction, this classification serves as the Spillman Application Specialist for the Arizona Department of Public Safety. This classification is designated as uncovered. Incumbent serves at the pleasure of the Director of the Department of Public Safety.
Under general direction, is responsible for modification and/or maintenance, troubleshooting, testing and training of Spillman Flex and Flex Mobile (Flex) software, and works with other employees monitoring a help desk for system problems. Performs related duties as assigned.
The Spillman Applications Specialist (SAS) works with the Spillman Applications Administrator (SAA) to provide maintenance, troubleshooting, and training of the Spillman software. Responsibilities include quality control, data entry, table maintenance and any other database related requirements. Additionally, the SAS troubleshoots user problems and coordinates resolutions with the SAA. As a support specialist, the SAS assists with training agency users on the use of the Spillman application and maintains a help desk for system problems. The SAS provides support functions such as researching information, compiling data, preparing reports, monitoring and tracking of information in software systems, coordinating projects/programs, and making recommendations for improvements and resolving complaints and problems.
Essential Functions (not intended to be all inclusive)
Monitor computer systems supporting the Spillman Flex Applications and other applications as needed.
Maintain system security and application tables.
Respond to calls for assistance providing emergency technical support.
Remain current on job-specific procedures through training courses, professional associations and trade publications to apply appropriate methodologies.
Assist with user training, implement ongoing training plan to train new employees and to refresh employees already trained. Distribute Flex user guides and data entry standards.
Provide phone and in-person support to Flex users and assist with software issues reported to the unit helpdesk.
Perform data entry and maintain code tables and other tables to ensure data integrity.
Assist the unit supervisors with preparation of written documents and reports (e.g., monthly and special reports, bulletins, analyses, etc.) to communicate information.
Attend meetings or conferences to obtain and/or disseminate information regarding assigned work area issues and programs.
Prioritizes and tracks time-sensitive events and assignments to ensure timely completion.
Establishes, updates and maintains manual and automated filing systems to store and track records/information.
Researches, compiles, analyzes and summarizes data to provide accurate information for audits, briefs, reports, contracts, correspondence, presentations and/or meetings; and to maintain program goals and/or strategic plans.
As required, under direction, represents the Department on various committees and task forces, and/or acts as liaison between the Department and other agencies or organizations.
Resolves complaints and problems by interpreting departmental policies and regulations.
Knowledge, Skills, and Abilities Required
Knowledge, Skills, and/or Abilities in:
The Spillman Flex application.
Installing, configuring, maintaining and training for the Spillman application.
Administering and maintaining Spillman application.
The use of windows-based computer systems.
Computer software programs, to include the Microsoft Office based suite.
Must have three (3) years of increasingly difficult and responsible experience involving the use of personal computers and database software OR any combination of increasingly difficult and responsible experience involving the use of personal computers and database software and related education from an accredited college or university to total three (3) years; and one (1) year experience using the Spillman Application in an administrative role (lead or secondary).
Must pass a background investigation.
