Responsibilities
The Specialty Program Coordinator, Provider is responsible for the day-to-day operational support and coordination for all Complete Health Assessment recruiting activities while providing operational support to all specialty programs. This position requires utmost attention to detail in coordinating the efforts among both internal and external parties. (Hybrid work schedule; in office M-W, work from Home Thurs & Fri.)
Essential Duties and Responsibilities
Compose, send, collect, update, and manage all collaboration agreements between the providers and their respective collaborators.
Assist with facilitating collaboration between providers and collaborators by scheduling meetings, collecting completed charts and sending them for review by the collaborator, tracking the process.
Onboarding new providers including but not limited to sending welcome emails, submitting appropriate tickets, collecting documents, communicating with scheduling, mailing supplies.
Ongoing monitoring and collecting copies of provider documentation including but not limited to license, DEA renewal, BLS.
Assisting when needed for helping to manage providers concerns and requests.
Provide a high level of customer service to the organization
Prepare and act as primary contact for offer letter
Provide outreach calls to patients as a back-up when outreach specialists are unavailable and will reschedule appointments as requested
Provide operational support to Specialty Programs
Other duties as assigned
Qualifications
Required Knowledge, Skills and Experience
High school diploma/GED required.
Experience in office management, call center or an administrative role.
Excellent oral, written and interpersonal communication skills
Ability to multi-task in a call center environment
Ability to work independently and prioritize work assignments to meet department deadlines
Must be adept in using Microsoft Office software
Must have demonstrable experience in quickly learning and applying new software tools and programs as well as using electronic work tools
Demonstrated written and verbal communications skills
Preferred Knowledge, Skills and Experience
2 years of experience in medical office or other healthcare setting
Proven, positive interactions with medical professionals and experience in scheduling patient appointments
