The Specialty Leasing Coordinator for social events is responsible for implementing and managing all City View social events, including audit compliance with the event deal flow process from initial sales inquiry to event execution. The position is based in downtown San Francisco, CA.

The successful candidate will be a proactive self-starter with a passionate interest and working/experiential history in the events industry. This individual will be a crucial event team member, focusing on sales and venue operations.

What You'll Be Doing

Sales/Lease Administration

  • Execute, meet, and exceed the annual sales budget for social events as defined by the Events Manager.

  • Act as the primary point of contact for parties interested in hosting social meetings or events at the City View event space.

  • Coordinate and provide initial site visits to prospective clients. Follow up with qualified potential clients.

  • Draft and send client proposals. Explore upsell opportunities with each client.

  • Work with the Events Manager on outbound sales efforts.

  • Input License Agreements into CRM and manage the deal flow from entry to execution.

  • Keep all data management records up to date.

  • Provide internal and external correspondence as needed.

  • Create, distribute, and process License Agreements and amendments.

  • Coordinate legal changes to License Agreements and amendments.

  • Maintain events calendars.

  • Maintain relationships with vendors, clients, contractors, and other venue professionals.

  • Contribute content to and monitor venue accounts on social media platforms.

Logistics

  • Coordinate, plan, and collect City View event logistics information.

  • Work with event vendors to assist in the planning and executing the event after the signed contract.

  • Coordinate contractor staffing, including venue management, housekeeping, security, engineers, truss operators, and loading staff. Manage expenses efficiently.

  • Assure client compliance with City View Venue Rules and Regulations, SFFD Rules and Regulations, building and city sound ordinances, SF Department of Public Health, and Alcoholic Beverage Control.

  • Assist clients with obtaining permits associated with loading areas/zones.

  • Provide logistics site visits, including but not limited to initial, pre-, and post-event walks.

  • Coordinate in-house services, including heaters, lighting, electricity, and rigging.

  • Provide event set-up support and supervision.

Operations

  • Attend all appropriate center meetings.

  • Oversee/coordinate maintenance and upkeep of venue facilities.

  • Implement venue safety procedures.

  • Perform contractor management, involving regular communication, payments, and insurance.

  • Perform vendor management, including communication, payments, and insurance. Maintain an active log of insurance for vendors.

Accounting

  • Attend all appropriate center meetings.

  • Collect, record, and process License Agreement payments, Security Deposit payments, and other miscellaneous charges.

  • Generate invoices.

  • Perform regular reconciliation of billing.

  • Work with the property accounting team to process Security Deposit Refunds, License Amendment adjustments, and other miscellaneous billing.

Other duties are as assigned by the general manager and events manager.

What We're Looking For

  • A Real Estate License is required for this position. If the candidate does not have an active license in CA, one must obtain one within 120 days of hiring.

  • A bachelor's degree in a business-related significant or equivalent professional knowledge/work experience.

  • Certifications from CMP, IREM, or other professional designations are a plus.

  • Minimum 2-3 years of experience in event coordinating, venue operations, or similar field.

  • Excellent oral and written communication, public speaking, and presentation skills

  • Strong financial understanding and ability to articulate the economic implications of decisions and collaborate with team members on the impact of those decisions.

  • Intermediate skills in Microsoft Office and Google Suites.

  • Willing to work a flexible schedule, with occasional nights and weekends.

Estimated compensation for this position is:

65,000.00 - 75,000.00 USD per year

The pay range listed is a total compensation range including bonus, if applicable. The provided range is an estimate and not guaranteed. An employment offer is based on applicant's education, experience, skills, abilities, geographic location, internal equity and alignment with market data.
