This position will provide administrative support to one or more client entities or client investors and will contribute as a key member of the Private Equity Revenue team. This is a new position that will likely expand in responsibility as this segment of our business grows and will potentially assume day to day supervision of other administrative resources on this team.

Essential Functions and Primary Duties

  • For Client Entities

  • Perform perm file maintenance including completion of IRS Forms SS-4, 8832, 2848, W-8/9,aintenance for changes in circumstances

  • Process IRS GIIN Registrations & Cancellations Local Country GIIN Enrollments Provision of Forms W-8/9 & Self-Certification at account opening

  • Assist team members with 1042/8804/FATCA/CRS annual filings, run reports, track progress, facilitate provisions and monitor notice receipt

  • For Client Investors

  • Participate in stages of on-boarding & transfer process for Client Investors

  • Review subscription documents for completion

  • Coordinate maintenance procedures, annual solicitation for expiration

  • Communicate with clients and coordinate with third parties as needed

  • Research and compile miscellaneous requests for information

  • Provide tax operational support including processing of client tax returns in an accurate and timely manner

  • Prepare check requests and route for approval and processing

  • Assist with preparing, mailing and/or scanning client documents and notice responses

  • Maintain internal trackers and follow up as necessary to ensure internal/external deadlines are met

  • Perform system administration/data entry and assist with maintenance of state waiver information for assigned clients

  • Collaborate with other team members in performing administrative duties that contribute to the function of the Tax Department such as preparing general correspondence, drafting engagement letters, performing data entry, printing, faxing and mailing, etc.

  • Perform additional responsibilities in support of Private Equity clients and team members

Preferred Qualifications

  • Prior experience in the public accounting industry or a professional services environment

  • Prior supervisory experience

  • Professional discretion and the ability to handle sensitive and confidential information

  • Strong initiative, independent problem solving skills and entrepreneurial work style

  • Highly competent in Microsoft Office applications (Outlook, Word, Excel, PowerPoint) and Adobe Acrobat DC

  • Working knowledge of CaseWare, CCH Axcess, Practice Engine, Concur, and XCM

Minimum Qualifications Required

  • High school diploma or GED required

  • Bachelor's Degree or two years of experience on a specialized subject matter

  • Must maintain current required licenses and certifications relevant to field of expertise

  • Demonstrates the ability to communicate verbally and in writing throughout all levels of organization, both internally and externally

  • Effective customer service skills

  • Proficient use of applicable technology

  • Ability to work in team environment as well as independently

  • Ability to analyze and prioritize multiple responsibilities

Position SummaryUnder general supervision and in accordance with established company policies and procedures, the Client Support Associate monitors client flow and assists in preliminary data entry and document collection to support an efficient and positive tax preparation experience. Other duties, assignments and specific projects may be assigned at the discretion of executive management. • Greets all shoppers or potential clients with a friendly and professional demeanor. • Engages in conversation with potential clients to share information about Jackson Hewitt's services and promotions. • Quickly and accurately verifies and enters customers' personal and Form W-2 information into Jackson Hewitt's proprietary software. • Assists with scheduling tax preparation appointments. • Monitors client flow at the location and keeps clients engaged during periods of wait time. • Monitors client activity and takes initiative to answer phones and resolve client issues. • Maintains a positive image and meets all customer service and productivity standards as set by their supervisor. • Meets set-up deadlines to ensure office locations meet brand/marketing appearance standards in time for office openings. • Provides equipment service at Jackson Hewitt locations to assemble, repair or teardown furniture, computers, tech or kiosk components using hand tools. • Assists in maintaining a clean and inviting workplace, this may include removal of trash, vacuuming or sweeping, cleaning counters, cleaning glass, etc. • Other duties as assigned. Education and Experience• High School Diploma/ GED, or equivalent related business experience. • May require state-specific certification associated with handling confidential client information. • Good interpersonal and communication skills. • Demonstrated ability in working in a high volume retail environment preferred. • Basic knowledge of computer functions required. • Customer service or sales experience preferred.
