Summary/Objective
The primary role of a Logistics/Mail Specialist is to process and distribute incoming mail to the appropriate file/case in the case management system or to the appropriate receiver. They sort mail by hand and upload incoming mail into an internal system as required. They also maintain shipping and mailing supplies, such as envelopes, tape, and stamps, and keep an inventory of these supplies. In addition, they process all outgoing packages; they package items, ensure proper labeling, and arrange pickup from the post office, UPS, FedEx, or other carriers at PLG Headquarters.
The Electronic Mail Specialist is responsible for adding documents and emails, from Attorneys, Clients, Vendors and the Courts, into Internal Case Management System and then decimate mail to the correct paralegal and Supervisor for handling. In addition, the Electronic Mail Specialist submits Litigation Reviews to Managing Partner for cases that may turn into Contested Cases.
Essential Functions.
Responsible for ensuring both external and internal customers receive the highest level of service by performing the following:
Ensuring supplies are distributed to departments in a timely manner
Receives and verifies incoming supply deliveries and mail/packages to ensure accuracy
Maintains appropriate contact with US Postal Service representative on updates and changes made to postal rules & regulations
Accurately sorts all incoming mail and ensures proper delivery to the intended recipient
Complies with the PLG Policies and Procedures
Prepare correspondence to be mailed (e.g. applying appropriate postage)
Track mailroom and operation center supplies to ensure maximum/minimum needs
Maintain high level of confidentiality in handling mail
Track Office supply orders using Excel for reporting needs
Participate in special projects and perform other duties as assigned
