The Special Programs Coordinator has split reporting - 50% to the BA Corporate Partnership Program and 50% to the JTV Center
Reporting to the Director of Corporate Partnerships, the Coordinator provides administrative and operational support to the department's corporate partnership program. Major areas of responsibility include: interfacing directly with corporate partners, who are typically VPs of multinational organizations, ensuring their needs are met across a wide range of circumstances; individual responsibility for planning, organizing, and implementing all aspects of one national conference and two advisory board meetings per year, as well as numerous other meetings and events; receiving and processing annual gifts from corporate partners.
Reporting to the Executive Director of the JTV Center, the Coordinator oversees and executes daily operations, scheduling, and administrative tasks for the JTV Center. Major areas of responsibility include fiscal management, analysis, and procurement; individual responsibility for planning, organizing, and implementing meetings and special events; routine and one-off administrative duties.

External Stakeholder Relations
Serve as point of contact for ongoing relationship with corporate partners. Interface with executive-level stakeholders to shepherd new and ongoing initiatives. Interpret requests and apply university policy to find solutions and achieve outcomes.
Research university policy and procedure guidelines, synthesize findings, and make recommendations for action in response to requests from partners.
Attend meetings with Director and Partners, providing expert policy and process guidance.
Maintain database of current and prospective partners, tracking hiring and research needs and ensuring annual gifts are paid.
Serve as connection point between department and corporate partners to promote hiring of recent graduates.
Utilizing multiple web interfaces and different processes for each organization, receive, process, and track annual gifts from partners.
Communicate with corporate partners and collaborate with University Development Office to ensure proper stewardship of gifts.
Create and maintain schedule to ensure follow-up with prospective partners.
Create and continually develop procedures and processes related to corporate partnership. Analyze partner activities to identify trends and opportunities for process improvement.
JTV Fiscal Management
Responsible for all financial management, budget planning, and forecasting for JTV Center funded by multiple endowed gifts which pay varying dividends each year.
Track, manage, forecast, and reconcile Center budgets on an ongoing basis; coordinate and influence annual budget creation process.
Conduct research and analysis to compose and present budget status and projection reports to Center and College leadership.
Represent Center in place of directors in making decisions about how funds are used based on program needs.
Possess complete knowledge of budget status at all times. Interpret and clearly communicate financial situation and implications to faculty directors.
Be familiar with gift agreements and ensure all expenses align with intentions of the gift.
Manage all aspects of ESP payments to faculty fellows and contract payments to external vendors, ensuring timeliness and accuracy.
Coordinate procurement of computers and other equipment required for Center operation.
JTV Center Operations
Manage daily operations of JTV Center.
Coordinate reservations for spaces within JTV Center.
Interface with college PR team to draft and edit press releases.
Conduct research, compile data, and draft reports for Center and College leadership.
Schedule meetings between student teams and faculty fellows.
Possess expert knowledge of Canvas travel system and coordinate all aspect of travel for department faculty, staff, students, and guests.
Provide administrative support to Executive Director as needed.
Other duties as assigned.
Event Planning and Execution
Independently plan, organize, and execute all aspects of meetings and special events to include one national conference, two advisory board meetings, and numerous other events and meetings each year.
Coordinate and ensure execution of all event logistics: registration, travel and lodging, space reservation, catering, A/V, and other elements as required.
Arrange travel and lodging and process reimbursements for guest speakers.
Attend events, which may occur outside standard business hours, to ensure event success and preempt or intercept issues that arise.
