Summary

The Special Events Manager will manage, and coordinate events focused on grand openings, celebration, staff appreciation, fundraising, cultivation, stewardship, and ceremonial events. The Special Event Manager will meet with and partner with departmental stakeholders on the strategy and execution of successful events. A team player mentality, cross-collaboration, and support of events within other core areas is also expected. The Special Event Manager will work to support, and project manage events related to numerous Michigan Medicine events, celebrations, anniversaries, and grand openings happening in Fiscal Years 2025 and 2026.

This position requires the highest standards of excellence in event planning and execution necessary to represent the health system. The ideal candidate will possess excellent leadership and motivational abilities, be able to work independently and prioritize tasks within a fast-paced, team-oriented environment.

This position is a two-year term-limited appointment

Responsibilities*

30% Event management and coordination of various aspects of event execution such as facility arrangements, catering, lodging, transportation needs, and other event logistics. Coordinate and facilitate the management of guest lists, event databases, guest response tracking, and dietary restrictions. Oversee event collateral materials such as invitations, confirmation/invoice packets, marketing materials, event programs, packets, gifts, and collateral. Coordinate and manage the day of event logistics including guest seating arrangements, nametag printing, place card printing and event staffing.

25% Engage in the strategic discussions pertaining to events in collaboration with Michigan Medicine Communications and Development offices. Develop collaborative relationships the Michigan Medicine team members. In partnership develop event constructs that support goals each identified project/event that will deliver the most strategic value to our constituents.

25% Create and manage event budgets and assess return on investment (ROI) of individual events. Negotiate vendor contracts and expenditures for delivering the best results while maintaining fiscal responsibility. Provide vendor oversite responsibility at events, and onsite logistical assistance at Michigan Medicine Events as needed. Always exhibiting the utmost professionalism, as this position requires significant interaction with the Michigan Medicine community including faculty, staff, patients, donors and hospital leadership.

20% Manage the oversight of third-party event companies as necessary. Facilitate event volunteer solicitation and task assignments, oversee the direction of volunteer staff while onsite at assigned events.

Manage other projects and perform duties as assigned.

Required Qualifications*

  • Bachelor's degree and/or equivalent combination of experience in academia or professional event management. Experience in managing and commitment to developing a team.

  • At least 3 years of progressively responsible roles in event strategy and execution, fundraising or development events.

  • Proven ability to execute complex events independently and with a team.

  • Excellent verbal and written communication skills and a demonstrated ability to develop working relationships with internal and external constituent groups.

  • Demonstrated ability to exercise a high degree of judgment and diplomacy, and an impeccable commitment to confidentiality is required, as well as highest integrity and ethics.

  • Demonstrated ability to lead in a team driven environment.

  • Experience managing complex vendor relationships and effectively negotiating contracts.

  • Punctuality, great attention to detail and excellent organizational skills are required.

  • Ability to set and meet multiple deadlines and priorities simultaneously; ability to work independently and interactively.

  • Highly professional and donor-centric demeanor.

  • Knowledge and experience using Word, Excel, PowerPoint.

  • Flexible schedule and ability to work early mornings, evenings and weekends.

  • Routinely lifts/moves equipment and supplies weighing up to 25 pounds to event venues for event execution needs; Must be able to remain in a stationary position during entire shift and move throughout event venues to execute events.

Desired Qualifications*

  • Experience with academic and/or medical events.

  • Knowledge of fundraising including the donor continuum and envisioning events which cultivate steward relationships.

  • Considerable knowledge of university policies and procedures, protocol and organization of the Health System.

  • Knowledge and working experience with personal computers and complex database systems.

  • Experience with Blackbaud products, Cvent, social tables, and other event related software packages.

The onsite location for this position is an office suite at 777 E. Eisenhower Pkwy, Ann Arbor. This building provides free, on-site parking for staff.

Events are generally in the Ann Arbor/Metro Detroit area.

This position may be eligible for flexible work opportunities at the discretion of the hiring department. Flexible work agreements are reviewed annually and are subject to change dependent on the business needs of the hiring department, throughout the course of employment. This position works both onsite and remotely based on the business needs of the unit.

Additional Information

This is a 2-year term-limited appointment. At the end of the stated term, your appointment will terminate, and will not be eligible for Reduction-in-Force (RIF) benefits. This term-limited appointment does not create a contract or guarantee of employment for any period of time as you will remain subject to disciplinary or other performance measures, up to and including termination, at the will of the University in accordance with existing University policy and standards for employee performance and conduct.

Background Screening

Michigan Medicine conducts background screening and pre-employment drug testing on job candidates upon acceptance of a contingent job offer and may use a third party administrator to conduct background screenings. Background screenings are performed in compliance with the Fair Credit Report Act. Pre-employment drug testing applies to all selected candidates, including new or additional faculty and staff appointments, as well as transfers from other U-M campuses.
