FUNCTION: The Special Events Coordinator is responsible for coordinating and creating events, large and small, to enhance and recognize philanthropic involvement to The Salvation Army. Events are meant to increase and grow community awareness of The Salvation Army and this position will encompass the planning, management of the respective event details and full implementation those efforts and projects ultimately intended to develop and enhance The Salvation Army's fund raising efforts. This position works closely with the corporate relations fundraising goals to optimize the overall annual fundraising strategy. The Special Events position is directly responsible for planning, managing, and coordinating volunteers engaged in special events as needed.


  • Collaborates with leadership to develop meaningful events and engagement opportunities for donors and the community at large to strengthen the message of the mission of The Salvation Army

  • Schedules, plans and executes new, annual and special/sponsored fundraising events from ideation through implementation; including, but not limited to signature annual events annual golf outing, annual civic luncheon and summer fundraisers.

  • Is the on-site manager of events and other special community initiatives for The Salvation Army and determines day-of logistics management

  • Reviews event requests with the Director of Development to ensure mutual understanding and support of priorities.

  • Works collaboratively on fliers, invitations, brochures, public relations, and media relations for events

  • Organizes volunteers for The Salvation Army Toy Shop and coordinates with Social Ministries the Sponsors for Adopt A Family and Development staff for an excellent experience with The Salvation Army

  • Coordinates special event volunteers including tracking hours and responsibilities

  • Follows up with volunteers for feedback and to extend the invitation to continue volunteering and ensures all volunteer groups have appropriate supplies/needs met to ensure a successful and fulfilling volunteer opportunity

  • Forms strong working relationships with Development Staff, Corps Officers, key constituents and important internal and external partners affiliated with The Salvation Army

  • Helps to draft and manage content for communications related to events including electronic, web content, invitations, and letters and event organization

  • Works closely with fundraising team to support sponsors and recognize them appropriately

  • Contracts and negotiates with vendors for all aspects of event production (including a/v, lighting, rental companies, video producers, florists, entertainers, etc.) and stays within a budget

  • Coordinates and/or writes talking points and script content for event programs as directed and as appropriate for target audiences.

  • Develops a robust working knowledge and functionality of technology platforms such as Salesforce.

  • Manages revenue and expenses, operating within allocated budget, for assigned events and activities. Represents The Salvation Army at various internal and external functions through targeted outreach and engagement efforts.

  • Works with advisory board committees for logistics for events, engagement and involvement, including major fund raising efforts such as the Annual Golf Outing and Annual Civic Luncheon.

  • Oversees all logistics the day(s) of special events, follow-through to completion, including follow-up.

  • Collaborates with Development Department to provide information for marketing and social media presentation of Army events, programs, and outcomes. This includes sharing ideas for social media posts as it pertains to events, corporate community engagement and connection with The Salvation Army.

  • Attends Advisory Board meetings and functions, and work collaboratively with Board members

  • Other duties as assigned.


  • Bachelor's degree with 3-5 years of experience or advanced degree with 2-3 years of experience in event planning and volunteer management, or a closely related field, preferably in a higher education or non-profit setting.

  • Demonstrated success in planning, implementing and managing special events.

  • Must be able to work nights or weekends or off hours if needed

  • Strong interpersonal, written, and verbal communication skills with demonstrated service orientation.

  • Ability to multi-task; be highly organized and detail-oriented; possess effective organizational and time management skills.

  • Adept problem-solving and project-management skills.

  • An independent worker and strategic and critical thinker with an enthusiastic and energetic attitude.

  • Experience in using CRM systems, like Salesforce

  • Advanced proficiency in Word, Excel and PowerPoint. Ability to access and work with databases and mail merges.

  • Ability to lift and transport event materials up to 40 lbs.

  • Willingness to work non-traditional business hours including some evenings, weekends and overnight travel as needed.

  • Must have reliable transportation and valid driver's license.

Responsibilities * Adhere to the highest standard of confidentiality when handling private issues on behalf of both the Division and its employees. * Be the best source of information in the Division for benefit, pension and insurance information by proactively communicating changes and helpful information to staff and officers. Also reactively assist those who have questions relating to their coverage. * Coordinate the sharing of information and the processing of insurance claims for SWO Division including: HealthWorker's Comp and Disability ClaimsEmployee Voluntary LifeEmployee Long Term Disability * Review and file reports from Chesterfield and THQ related to various insurance matters (including reports sent via e-mail & filed in my shared drive folder, as well as printing a hard copy of same and placing it in binder on my shelf). * Administer Benefits for the Division, including participation in orientation of new employees as needed, as well as answering questions from the field. * Attend conferences as needed to maintain knowledge of benefits. * Prepare billing for health, life insurance and MetLife Voluntary Long Term Disability for entire division. Prepare separate billing for Columbus for Voluntary Life and for MetLife Long Term Disability and process checks when they are forwarded each month. * Enroll new employees in the health, life, voluntary life AFLAC, Flexible Spending and MetLife Voluntary Long Term Disability Programs. * Contact Chesterfield regarding legal risks and potential liability claims resulting from personnel issues at the direction of the HR Director, GS, or DC. * Process department mail and distribute as appropriate. * Process background check requests for potential employees and volunteers, and communicate approvals and rejections to the appropriate hiring manager. Adhere to TSA guidelines when questionable or deniable background checks are produced. * Type and process assigned correspondence as appropriate. This includes job offer letters, pension letters and benefit information. * All HR Department filing, including scanning and coding termination files. * Enter all employee forms in database. * Schedule appointments and interviews are necessary. * Complete employment verifications for current and previous employees. * Assist with all employee events as needed by HR Manager and/or Director. * Answer phones and take messages as appropriate. * Provide substitute coverage at the front desk when a substitute is required. * Other tasks and special projects as assigned to support the HR Department team focus. Qualifications * High School Diploma or equivalent. * 2 years office administrative support experience.
