JOB DESCRIPTION

DESCRIPTION OF DUTIES:

This position is responsible for assisting with coordination of cultural and performing arts programs and both back- and front-of-house operations at The Village Theater at Cherry Hill. Work assignments may occur at various locations, including the Village Theater, Summit on the Park, Canton Sports Center, Pheasant Run Golf Course, Township Parks, and the B.L.O.C.K. Youth & Teen Center.

EXAMPLES OF WORK: (Note: These examples are intended merely as illustrations of the various types of work performed)

  • Assist Arts Coordinator in the planning, supervision, and coordination of arts programs and activities as assigned

  • Coordinate set-up, tear-down and clean-up of programs and events

  • Assists Arts Coordinator with recruiting, interviewing, training, scheduling and supervising part-time/seasonal Village Theater staff as directed

  • Responsible for purchasing supplies and equipment for the facility, programs, and activities

  • Ensure safety rules, policies, regulations and procedures are followed by public and employees

  • Assists in the preparation of information and reports for budgets, monthly and annual reports as applicable.

  • Maintain accurate facility and program, activity and equipment records

  • Responsible for responding to, communicating and documenting emergency situations and incidents, including but not limited to First Aid, CPR, Severe Weather and Missing Child Events

  • Responsible for keeping abreast of community needs and current trends in the cultural arts to ensure the delivery of quality customer service for facility, program, and activity participants and guests

  • Work with community organizations, groups and individual citizens to promote programs and events

  • Responsible for interaction with participants, guests, volunteers, and staff members in a positive, professional and friendly manner to ensure a high level of customer service and delivery of quality programs and services

  • Ensure proper ADA accommodations are met in the facility

  • Inspect and prepare facilities and equipment for planned programs and events; report equipment damage to Arts Coordinator

  • Responsible for scheduling staff as needed

  • Recruit instructors and evaluate programs and facility from a customer service perspective

  • Assists Performing Arts Coordinator in providing support and direction to box office and facility staff as needed

  • Safely drive and operate Township vehicles

  • Responsible for enforcement of departmental rules and regulations, operating procedures, and policies

  • Responsible for working with vendors, instructors, renters, and performers to ensure proper contracts are in order for services

  • Assists in the training and management of volunteer ushers

  • Prioritizing and performing multiple tasks, assignments, and deadlines

  • Perform other duties as required

ESSENTIAL JOB FUNCTIONS - KNOWLEDGE, SKILLS AND ABILITIES:

  • Minimum age of 18 years old

  • High School Diploma or GED required

  • Minimum of 1 year experience in planning or organizing special events and logistics, meetings, or other professional related programs or operations required

  • Must possess a current, valid Driver's License with a driving history that does not create liability concerns; which include, but are not limited to, convictions for reckless driving, careless driving, suspended license or convictions involving drinking and impaired driving

  • Ability to work a wide variety of shifts, including mornings, afternoons, evenings, weekends, and holidays as needed

  • Previous customer service experience required; supervisory experience preferred

  • Experience with cash-handling, grant work, data entry, and report-writing preferred

  • Strong organizational, and both written and verbal communication skills required

  • Ability to learn and manage industry software and social media applications, as well as website management programs

  • Ability to perform manual labor for extended periods of time (i.e. must be able to carry promotional items and set up for trade shows, open houses, etc.).

  • Ability to clearly communicate procedures, problems, and policies with fellow employees and the public tactfully and courteously

  • Willingness and ability to problem-solve, and work both independently, and as part of a team in a fast-paced environment

  • Ability to convey a positive and professional image to staff and community members at all times

  • Ability to demonstrate techniques and skills associated with assigned programs and activities

  • Ability to respond to emergencies in a calm and efficient manner

  • Skill in organizing self and others; ability to self-start in discharging responsibilities. Must be self-motivated

  • This is an "At-Will" position: Work assignments and hours scheduled based on availability, division requirements and within the confines of the budget. Schedules and work hours are not guaranteed and are subject to change at any time due to division needs, budgeting and staff availability

Posting Information: Special Events Coordinator

  • Cultural Arts (Part-time)
  • Most shifts will take place Monday through Friday between 1pm and 7pm; however, morning, evening, and weekend shifts may be required by supervisor.

  • This is a part-time job opportunity. Part-time employees can work up to 29 hours per week year round. Work hours, however, will be solely determined based on work load and availability.

  • This is an at-will position. Hours are limited and will vary based on the operational needs of the department. Employees in this position are not full-time and will be classified as part-time, seasonal or variable hour employees.
