  • The candidate must have earned a high school diploma

  • Clerical experience or training preferred

  • Experience in a school setting preferred

TERMS OF EMPLOYMENT:

1.Work Year: Ten-month work year.

2.Salary: Salary and fringe benefits to be established by the Board of Education.

JOB DESCRIPTION

TITLE OF THE POSITION:

Special Education Secretary

LOCATION OF THE POSITION:

Oak Forest High School

REPORTS TO:

Assistant Principal for Student Services and Special Education Coordinator

GENERAL DUTIES:

  • To assist in maintaining high quality services for staff, students, parents, and community members who utilize the services assigned to the position.)

  • To assist immediate supervisor in carrying out the duties assigned to that position.

  • To strive for positive and collegial public relations with the staff, students, parents and community members.

  • To maintain confidentiality in all areas assigned to this position.

QUALIFICATIONS:

  • The candidate must have earned a high school diploma

  • Proficient computer skills

  • Previous office experience

  • Such alternatives to the above qualifications as the Board of Education may find appropriate and acceptable.

ESSENTIAL FUNCTIONS:

  • Possess the ability to speak clearly and to be understood by others.

  • Possess the ability to write legibly.

  • Demonstrate the ability to effectively use technology / computers.

  • Demonstrate effective telephone skills.

  • Demonstrate the ability to calmly address individuals using the services offered in the position.

  • Possess an acceptable attendance history in prior positions and demonstrate the ability to meet attendance requirements of the designated position.

  • Possess a successful work history, supported by references, in a work setting similar to the position for which the candidate is applying.

  • Demonstrate confidentiality with sensitive information.

  • Demonstrate effective interpersonal skills.

  • Take responsibility for the maintenance of confidential files.

PERFORMANCE RESPONSIBILITIES:

  • Serve as the designated special education cumulative file manager, by maintaining IEP files, including: a sign-out system for file security, filing of documents, and responding to release of information requests.

  • Generate and maintain a calendar for appointments, arrange for IEP meetings by taking input from School Psychologists, PPS staff, and case managers. Call parent/guardians to verify dates/times of IEP meetings.

  • Type up meeting invitations and distribute/mail copies to all participants and reserve meeting space once dates and times are confirmed.

  • Monitor special education lists and coordinate data with PPS staff and Sp Ed Department for IePont reports to ISBE, transportation, etc.

  • Copy materials, such as referral packets to out of district placements for School Psychologists and others.

  • Assist with the arrangements for testing accommodations for IEP and Section 504 students.

  • Attend IEP meetings and enter information on IEPs with IePoint software.

  • Other duties as assigned by supervisor and/or principal

TERMS OF EMPLOYMENT:

Ten-month work year. Work day is regular school day for clerical staff. The salary and benefits to be paid according to salary schedules established by the Board of Education.

Performance of this job will be evaluated in accordance with the provisions of the Board's policy on evaluation of Educational Support Staff.
