Position Summary:

Working from the office in Tampa, Florida, the Administrative Assistant - ESE is responsible for daily administrative tasks of the school such as maintaining student data within various student information systems, answering phones and email, records management, scheduling meetings, receiving visitors, and assisting the special education team and principals with administrative tasks and other duties as assigned. The AA-ESE will report to the Manager of Special Education.

Responsibilities:

  • Entering data into the online student information system;

  • Collecting special education records from prior schools- working with grade level admin assistants to ensure correct upload of sped records (IEPs, 504 plans, LEP plans, Gifted Educational Plans, School evaluations);

  • Creating/Maintaining ESE hard files of Hillsborough County students;

  • Working with the state testing and special education teams to assist with ensuring student accommodations are correct and consistently updated. Assisting with printing out accommodation plans and organizing by test site location. Working with special education team to create Accommodation Test Site Manual for trainings/support.;

  • Answers the main phone line and greets school stakeholders at the office;

  • Coordinating and scheduling IEP and child find meetings;

  • Creating and sending meeting notices;

  • Generating ESE compliance reports;

  • Communicating with both internal and external customers;

  • Assists the leadership and special education teams with a wide variety of daily tasks;

  • Make outbound calls (i.e. ESE meeting reminders, enrollment, state testing);

  • Assists with special education and school-wide mailings; and

  • Additional duties as assigned.

Requirements

  • Proficiency with Microsoft Office tools and web-based applications is essential

  • Basic understanding of special education

  • Effective organizational and time management skills

  • Work hours: Monday Friday, 8:00am 4:30 pm

  • Ability to multitask in a fast-paced environment

  • Good interpersonal skills and attention to detail

  • Excellent communication skills, both oral and written

  • Customer focused approach

  • High degree of flexibility and adaptability

  • Must report daily to the office in Tampa

  • Willing to undergo pre-employment testing at own expense

VIEW JOBS 2/20/2020 12:00:00 AM 2020-05-20T00:00 The Education Administrative Assistant reports to the Director of Education Finance and Admissions and provides administrative and clerical support to the Education Department of the Patel Conservatory. Primary Duties and Responsibilities: Administrative: * Coordinates calendars and meetings and provides administrative support to the Vice President of Education and Community Engagement, Director of Education Finance and Admissions, and Technical Director and department heads as requested. * Tracks all expenses for the Education department and reconciles them with monthly general ledger reports. * Reviews and tracks all Education department hiring paperwork. * Compiles and maintains weekly status reports of Conservatory month-to-date and year-to-date enrollments, tuition, and ticketing. * Assists in the preparation of reports for the Education Committee, Executive Committee, and Board of Trustees; Duties include compiling data, copying, and assembling materials for distribution. * Collects and enters data to assist in the preparation of statistical reports for the Education Department. Performs similar functions for the collection of assessment and evaluation data. * Coordinates, collects, and compiles data used for maintaining the Conservatory's Accreditation. * Assists the VP of Education and Community Engagement and Technical Director with uploading and coding transactions in Works, compiling receipts, and completing expense reports as needed. * Works with Education Senior Manager of Finance & Admissions, department heads, designers, and others with production budgets to coordinate the financial settlements for all Patel Conservatory productions and events. This includes: * Tracking and coding expenses and receipts. * Gathering invoices from other Straz Center departments. * Assembling all settlement paperwork according to standard practices for review by the Technical Director and Director of Education Finance and Admissions. * Coordinates volunteers from University of Tampa (UT), pairing them with a department, taking them through the orientation process and communicating with the UT representative as needed. General: * Coordinates departmental functions and special events and performs other duties when necessary to ensure the overall smooth operation of the department. * Other duties as assigned. Position Qualifications: Minimum * College degree preferred, but not required. Equivalent experience may be substituted. * Two to three years of administrative and project management experience. * Availability to work occasional nights and weekends, as required. Special Skills/Abilities * Proficient in Microsoft Office applications to include Outlook, Word, Excel, and PowerPoint. * Ability to handle sensitive personal and company information appropriately.
