POSITION SUMMARY:

The candidate under minimal supervision, is charged with managing and executing a wide range of administrative, operational, and executive support activities for the Vice Chancellor of Finance and Administration. As the principal aide to the Vice Chancellor, this includes coordination of issues involving fiscal and administrative affairs and strategies as well as a full range of operational and logistical duties. The incumbent works concurrently in multiple areas of responsibility, initiatives, and issues while assisting the Vice Chancellor with identifying and meeting often unforeseen requests and deadlines. This position provides coordination between the Vice Chancellor of Finance and Administration and the Chancellor's Office, Executive Team, Chancellors' Cabinet Members, and other internal and external contacts including the Board of Supervisors, state agencies and other higher education institutions. This position coordinates the activities of the Office of the Vice Chancellor of Finance and Administration while maintaining confidentiality and integrity.

Specific duties are:

  • Assist the Vice Chancellor in managing strategic relationships between the Office of Finance and Administration, internal and external constituents, including the overall review, consultation, and decision making process desired by the Vice Chancellor and key stakeholders; assures that information and communication is in accord with those processes and with the most effective operating model for the Office, including coordination with the Vice Chancellor's long- range calendars, schedule of agenda for recurring meetings, anticipated retreats and planned speaking engagements

  • Prioritizes access to the Vice Chancellor to ensure that appropriate time is allocated for key strategic priorities and key constituencies. Assigns responsibility for issues not requiring the Vice Chancellor's involvement and ensures their completion

  • Tracks and follows up on the progress of a wide range of programs, initiatives, and activities for the Vice Chancellor. Assesses progress to goals/priorities and takes appropriate action to influence outcomes. Keeps the Vice Chancellor apprised of status and developments. Highlights important issues and areas of concern, ensuring that various perspectives on issues are presented accurately and objectively. Identifies and develops responses and alternatives for consideration and decision based on a thorough and careful analysis of relevant facts, conditions and circumstances

  • Supports and partners in a variety of ways, e.g., establishing priorities and setting agenda, developing ideas, identifying and evaluating alternatives, establishing goals, policies and practices, developing action plans, promoting and driving change, and preparing for various meetings and events. Gathers relevant information. Formulates insights on key issues

  • Key responsibility for drafting communications, briefings, major addresses, remarks and presentations

  • Works closely and collaboratively with the Chancellor's Office, other senior officers of the University System, Board of Supervisors, government officials and agencies on a wide range of strategic, policy and programmatic areas. In consultation with appropriate executive and senior staff, resolves complex problems and issues concerning stakeholders and day-to-day business operational matters

  • Ensures that matters requiring attention are prioritized appropriately and fully developed. Reviews correspondence, reports, and presentations submitted to Vice Chancellor of Finance and Administration; obtains additional information and/or recommends appropriate changes to facilitate future discussions

  • Develops, directs and/or coordinates the preparation of special reports and documents, including annual and multi-year plans, strategic goals and objectives, status reports and action plans

  • Monitors the Vice Chancellor's email and incoming mail and composes complex correspondence based on research and knowledge of subject matter; prepares reports and analyses setting forth progress, adverse trends and appropriate recommendations or conclusions

  • Organizes meetings (call for agenda items, create agenda, take minutes) organizes other meetings, events and social functions

  • Performs other reasonably related duties as assigned

  • Focuses on details, organization, and meeting deadlines

  • Other duties as assigned

REQUIRED EDUCATION AND EXPERIENCE:

  • Bachelor's Degree, or the equivalent in experience and training.

  • Three to five years of work experience in college, university or similarly complex organization or an equivalent mixture of post-secondary education and relevant work experience.

PREFERED QUALIFICATIONS:

  • Master's Degree

  • Experience reporting to a senior administrator

COMPENSATION:

$36,000 - $40,000
