Guidewire has an exciting opportunity for a Special Assistant to the CEO, a newly created position within the organization. This role will report directly to the CEO and will be responsible for supporting the CEO & COO through a combination of program management, research and operational support to ensure there is capacity for the CEO & COO to focus on key business objectives.

The role requires outstanding professionalism and discretion, organization and attention to detail, energy and initiative, the ability to deftly multi-task and a willingness to work on a wide variety of projects and tasks. You will have access to the CEO & CCO's leadership team, their respective organizations and other organizations by helping drive special projects, participate in selected external meetings with clients and partners, conduct research, lead new initiatives, and manage schedules. You will be exposed to the most sensitive company information that others on the team may not be privy to. Responsibilities include but not limited to:

  • Managing the CEO's and COO's workflow and priorities by managing their schedules and anticipating steps ahead.

  • Preparing for and following up on internal and external meetings. When needed, participating directly in external meetings and conduct follow-up on the CEO or COO's behalf

  • Providing members of the Executive Leadership Team leverage in moving projects forward by assisting with information gathering, communicating with different parties, developing and monitoring plans, keeping track of responsibilities,

  • Managing special projects assigned by the CEO & COO.

  • Prioritizing and managing multiple projects simultaneously and following through on issues in a timely manner.

  • Proactively identifying ways to improve the efficiency and efficacy of the leadership team.

  • Anticipating needs from the leadership team and identifying opportunities to create processes and systems to streamline workflow.

Qualifications:

  • Ability to work directly with C-Level Executives

  • Superior organizational skills and detail oriented

  • Excellent oral, written communication and presentation skills

  • This role is best suited for someone early in their career, with high potential to be a leader of his/her own company one day and a distinctively strong commitment to learning and growth.

  • Ideal candidate will be a recent MBA graduate is keen to learn; is flexible and enjoys travelling.

  • Experience of being productive in a fast-paced startup team or supporting senior managers would be relevant but no particular type of experience is a prerequisite, as the right candidate will be someone who can quickly learn to do things they've never done before.

The ideal candidate must independently navigate and adeptly handle a variety of interpersonal interactions, and pro-actively anticipate and resolve the needs of the CEO and her Executive team while creating a supportive and smooth operational atmosphere around them. This position requires the ability to work in a fast-paced environment, and frequently be comfortable with change by being very flexible and possess outstanding problem solving and critical thinking skills. This position also requires sound judgement and attention to quality and detail; expert scheduling skills and strong organization of multiple calendars, electronic collaboration and document control. The role requires exceptional planning, prioritization and communication skills as well as capacity to act with utmost discretion. This position reports directly to the CEO and manages the executive's business and personal matters seamlessly. The Executive Assistant role requires the highest level of service to the entire organization, and sets the example as to responsiveness, excellent service and help to others in the firm. Essential Functions AVERAGE % OF TIME 45% * Scheduling and Organization Responsibilities – Primary responsibilities include: planning, monitoring, managing and heavy scheduling for meetings and appointments to ensure meetings are successfully calendared and planned at the direction of the CEO; conflicts and deadlines are anticipated and planned for so that calendar is as efficient as possible. Compose, format and/or type routine correspondence; Accurately files correspondence and other records physically and electronically; Reads and routes incoming mail/packages. Locates and attaches appropriate files to correspondence, if applicable; Answers telephone and gives information to callers or routes call to appropriate person; Conduct phone correspondence with Prometheans and other external contacts Makes and sends pdf copies of correspondence or other printed matter; Prepares outgoing mail. Partners with department representatives to review and route inquiries; fielding them accordingly. Order lunch and cater CEO's meetings. 35% Bookkeeping/Invoice Processing Responsibilities – Monitor/maintain meeting and travel schedules; Prepare invoices, obtain signature/approval and timely submit invoices to accounts payable for payment. Set up and maintain executive's auto-pay for personal expenses. Input weekly payroll for household employees. Perform other functions and special projects, as assigned. This position is often privy to confidential information and as such, requires diplomacy and discretion. 15% Corporate Social Responsibility – Become a hands-on partner in driving synergies between the Foundation and other Company charitable events. Responsible for document management and reviewing and understanding the cash flows for the Foundation. 5% Presentations & Travel - Manage the activities, meetings and attendance of the CEO at the Annual MASTERS Conference and other off-site events, which require travel, several times per year. Manage the creation and modifications to company presentations.
