Job Overview

The Special Assistant to the Associate Deans (SA) provides key administrative functions and support to the faculty members serving as Associate Deans at Georgetown Law. They support the Associate Deans and the Chief Data Officer (CDO) in their administrative capacities overseeing departments, units and projects, as well as in their scholarship, research and course-related work.

Currently, the SA supports seven Associate Deans, although that number may slightly increase or decrease in future years, and the CDO. In the coming academic year, the SA will support are the Associate Deans for Academic Affairs, Centers and Institutes, Clinics and Experiential Education, Equity and Inclusion, External Programs, Graduate and International Programs, and Research and Academic Programs.

Specifically, the SA provides administrative and logistical support for the Associate Deans, including planning, scheduling, and maintaining the Associate Deans' calendars; and providing support for meetings, assisting with material prep, and ensuring that materials for meetings are distributed to participants in a timely manner, and that all meetings are confirmed. As well, they manage outgoing and incoming correspondence for Associate Deans; provide event and travel support as needed; manage reimbursements; and support scholarship, research, and courses.

Additionally, the SA manages the intersection where tactical and operational tasks meet strategic goals and objectives, which provides an opportunity for the SA to actively participate in advancing the Law Center's mission. As well, they have opportunities to identify projects and processes to maximize the contributions of the Associate Deans and CDO, in their respective roles.

Work Interactions and Work Mode Designation

A critical member of the Office of Faculty Support team, the Special Assistant reports directly to the Director of Faculty Support, who provides direct oversight and manages day to day operations of the Faculty Support team and the SA's workflow.

They collaborate with Faculty Support team members, and receive assignments directly from the Associate Deans they support and from the CDO. Using excellent project management and prioritization skills, the Special Assistant manages multiple projects from multiple Associate Deans with competing timelines and priorities.

Adaptable to different work-styles, the Special Assistant collaborates and communicates effectively with all members of the Law Center and University community, visitors, vendors and the public to provide comprehensive, high-level support to Law Center Associate Deans and the CDO.

In a highly visible role, the SA interacts on a regular basis with both internal and external constituencies, including the Dean and Executive Vice President, Vice Dean, Associate Deans, CDO, faculty, staff, students, alumni, Law Center and University officials, local, national and international government officials and VIP dignitaries. As such, their professionalism impacts the impression that faculty, staff, students and visitors have of the Law Center.

Additionally, they work closely with the Office of the Dean, Office of the Vice Dean, the Finance and HR teams, the Events and Scheduling team, the Communications team, and other Law Center teams and departments.

Requirements and Qualifications

  • High School diploma - preference for a Bachelor's degree

  • At least 2 years of experience in administrative support and/or customer service roles - preferably in a higher education or a law office environment

  • Experience with the practical application of routine office practices and techniques

  • Strong communication and interpersonal skills, including experience working with a wide range of individuals

  • Experience and proficiency with Microsoft Office, Google Suite, and Adobe

  • Ability to gain proficiency with other office and campus technologies (including GMS/Workday, Concur, Canvas, WordPress).

Preferred Qualifications

  • A highly organized, proactive, strategic, self-starter with an anticipatory mindset

  • Ability to work both independently and collaboratively

  • Flexibility and creativity, and ability to work with a variety of personalities, work-styles and constituencies to deliver excellent work product in support of the Associate Deans and CDO and their administrative and academic goals

  • A strong understanding of scheduling and project management with attention to details and timelines

  • Excellent communication skills, including writing and editing

  • Attention to detail and the ability to produce high quality presentation materials

  • Ability to be discrete and to respect privacy and confidentiality requirements
