JOB SUMMARY

The purpose of this position is to support and assist in the management of space planning.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Serves as a primary interface and point of contact with client team for all non-project space related inquires throughout the planning process.

May assist in managing the global furniture portfolio. Answers client's questions/concerns and provides data to back up recommendations.

May identify existing furniture solutions currently in place and develops standard operating procedures for all furniture activity. Maintains knowledge of current and future space needs and understanding of the business direction and changing workplace needs.

Tracks, monitors and oversees all non-project related moves, planning and inventory of furniture and workstations.

May develop and maintain tracking mechanisms for monthly reports. Applies knowledge to forecast space requirements based on verified existing space information, forecasted space supply/demand and growth projections.

Provides metrics around current and future space needs.

Participates in conceptualizing and the development of migration plans.

Coordinates planning for non-project related moves, adds, and/or changes. May deliver budgetary forecasting.

Attends meetings with client representatives and facilitates discussion/programming of space requirements (headcount/growth, allocations, adjacencies, special support needs). Provides metrics, collect, organizes and analyzes data related to client's facility requirements and physical space needs.

Reviews, and/or updates CAD drawings and/or related database(s). Documents findings, conclusions and communicates recommendations based on data analysis and supply/demand assessment. Reports to client and service delivery partners upon critical success factors, work environment and delivery efficiency and effectiveness.

Other duties may be assigned.

SUPERVISORY RESPONSIBILITIES

No formal supervisory responsibilities in this position. May provide informal assistance such as technical guidance and/or training to coworkers. May coordinate work and assign tasks.

EDUCATION and EXPERIENCE

High School diploma or General Education Degree (GED) required. Associate's degree from or equivalent preferred.

Minimum of 4 years of related progressive experience and/or training.

AutoCAD drawing experience is required.

CAFM software experience preferred.

Ability to comprehend and interpret instructions, short correspondence, and memos and ask clarifying questions to ensure understanding. Ability to write routine reports and correspondence.

Ability to respond to common inquiries or complaints from clients, co-workers, and/or supervisor. Ability to effectively present information to an internal department and/or large groups of employees.

FINANCIAL KNOWLEDGE

Requires basic knowledge of financial terms and principles. Ability to calculate simple figures such as percentages.

REASONING ABILITY

Ability to understand and carry out general instructions in standard situations. Ability to solve problems in standard situations. Requires basic analytical skills.

OTHER SKILLS and ABILITIES

Intermediate experience in Microsoft Office Suite applications including: Word, PowerPoint, Excel, Outlook, etc.

Ability to provide efficient, timely and reliable service to client(s). Ability to present information in an effective way. Ability to respond effectively to sensitive issues.

Ability to collaborate, problem solve and multi-task. Ability to adapt to change when necessary. Familiar with system furniture design and modular furniture while demonstrating knowledge and adherence to building regulations and health & safety guidelines.

The Facilities Planner is responsible for providing planning and scheduling support for all maintenance activities. This position is a Subject Matter Expert (SME) of the Computerized Maintenance Management System (CMMS) and manages all preventative maintenance schedules and asset data in the CMMS. This position will liaise with the maintenance teams and customers to ensure required resources are identified, planned, estimated, organized and scheduled prior to execution for efficient utilization of the maintenance resources. This position will need to work closely with other functions in the business to support business goals. In addition, this individual will have the responsibility to ensure applicable business information/work order data is stored and maintained to support business decisions when needed. Responsibilities: * Reliability & CMMS Management * Lead efforts to improve overall maintenance program effectiveness through continuously improving preventive maintenance strategy. * Robust understanding of how to fully utilize a computerized maintenance management system (CMMS). * Develops PM procedure checklists for equipment. * Plans maintenance activities and determine PM frequencies on a daily, weekly and monthly basis utilizing CMMS and other tools. * Complies with all account CMMS standards and specifications to ensure database integrity and standardization. * Develops CMMS training materials and conducts trainings. * Work Order Management & Planning * Reviews and prioritizes requests, determines activities required for completion of work and sets completion date. * Visits job sites for work order clarification, communicates with work order requesters as needed. * Coordinates with client representatives to understand their needs and to ensure the work schedule takes account of the downtime windows negotiated with clients, where necessary. * Estimates the labor resources required for completion of a WO, estimates and reviews work order bill of materials, non-stock material purchase requisitions and external resources required for completion of WO. * Works with Facility Managers (FM) and assigns individuals or groups of individuals as required to complete the work. * Reporting & Miscellaneous Tasks * Tracks KPI metrics for work completed past due, labor hours, inspections and asset costs. * Analyzes metrics from the CMMS to improve uptime and reduce costs and maintain quality data. * Assists the Reliability Manager and FM team in various duties. * Conducts monthly building audits. * Complies with all safety, security and Company policies and procedures. * Creates and runs various work order metrics reports as needed. Qualifications * Experience as a journeyman engineer level with strong skills in building equipment systems. * 7-10 years of experience in maintenance/operations of facilities or utilities with applicable skilled trade requirements. * Minimum 5 years of experience implementing maintenance repair activities in a process and building services environment in the pharmaceutical industry. * Experience with planning and scheduling of maintenance activities. * Technical/Vocational high school diploma/equivalent required. Bachelor's Degree in a relevant engineering discipline is preferred. * Excellent interpersonal communications skills are required. * Able to interact with all levels of the organization and outside contractors, architects, and engineers. * Strong skills in Microsoft Office, specifically Excel. * Familiar with computerized maintenance management systems (CMMS).
