Space Commerce Institute Program Coordinator
DEPARTMENT: Space Commerce Institute
REPORTS TO: Vice President - Space Commerce and Entrepreneurship
POSITION SUMMARY/OBJECTIVE:
The Space Commerce Institute (SCI) Program Coordinator is a key team player that assists the Space Commerce Institute team with program oversight and execution. This includes maintaining all project documents, coordinating with internal and external stakeholders, and facilitating the successful completion of various execution areas within Space Commerce Institute. The SCI Program Coordinator will have the ability to learn and grow within this dynamic and evolving department and be part of its many programs, as well as engaging internally with other Space Foundation staff on behalf of Space Commerce Institute.
RESPONSIBILITIES:
The following briefly describes representative responsibilities of this job, but it is not intended to be a complete or all-inclusive listing of activities, duties, or responsibilities that are required of this position:
Works with the SCI team to coordinate current and future workloads to include management of team members, tasks, and workflows
Assists in the design and implementation of programs within the SCI department
Manages the calendar of the Vice President of Space Commerce and Entrepreneurship and provides administrative support to the SCI team
Regularly prepares reports on the status of various program activities and efforts
Supports SCI team members with documentation and maintenance of customer interactions and activities within Jotform and Hubspot
Works with internal stakeholders to maintain updates to SCI website, coordinate video projects, and execute marketing efforts
Facilitates SCI's Vector series through coordination with guests and internal support services
Answers customer inquiries and directs potential customers to the appropriate internal contact
Organizes, presents in, and facilitates internal and external meetings where appropriate and distributes meeting minutes to all department team members
Documents and provides follow-up on important actions and decisions from meetings
Creates and manages program documents and templates by ensuring all necessary materials are current, properly filed, stored, and adhere to project management methodology
Works closely with the SCI Program Manager to maintain schedules and deliverables on various programs
REQUIREMENTS:
Bachelor's degree in business administration, communication, or similar field
Previous experience in an administrative or program support capacity
Proven adaptability in previous roles along with a demonstrated ability to remain flexible and change directions quickly when needed
Strong organizational skills and ability to maintain and work with competing priorities

Individuals in this position will generally work indoors and will have a workspace designated solely for them. Necessary office furnishings, equipment, and supplies will be provided by the Foundation. While performing the duties of this job, the employee may periodically be required to work outdoors and would be exposed to weather conditions prevalent at the time. The employee may periodically be required to work in an offsite environment or at special events, and from time to time may be asked to travel on Foundation business, at the Foundation's expense. The noise level in the work environment is usually moderate.
JOB-STATUS:
1). FLSA Classification: This position is non-exempt according to guidelines of the Fair Labor Standards Act and, as such, an individual in this position is eligible to receive overtime pay.
2). Full- or Part-Time: This position is full-time in nature. An individual in this position will regularly work a schedule consisting of 40 hours per week.
3). Work Location: This position's primary worksite is the headquarters located in Arlington, VA. The nature and responsibilities of this position are such that it is eligible for alternative worksite arrangements, such as working from home or telecommuting, on an occasional, infrequent, and/or as-needed basis.
4). Regular Schedule: Usual business days are Monday through Friday, holidays excepted, and usual business hours are from 8:00 A.M. to 5:00 P.M. in the time zone in which the position is located. The nature and responsibilities of this position are such that it is not eligible for flexible work scheduling, such as a 4-day workweek or alternate start/end times, on a consistent or recurring basis.
