Job Overview: The Spa Manager is responsible for overseeing the successful operation of the Spa facilities assuring its profitability, operational goals, and that the highest standards of personal luxury service and guest satisfaction are met in a professional and courteous manner following all property policies and procedures.

Responsibilities and Duties:

  • Assist with the operations and management of the Spa department.

  • Ensure club memberships are accurately recorded and invoiced/charged.

  • Maintain excellent relations with club members.

  • Know front desk operations including reservations, filing systems, sales and guest check in procedures.

  • Coordinate with sales team for any on-property group business.

  • Responsible for hiring and scheduling of staff, (including massage and salon) conducting disciplinary actions and providing training for all team members.

  • Oversee performance, attendance, attitudes, appearance and conduct of the team members.

  • Maintain consistent and efficient systems of communication between the spa and outside of the spa department.

  • Ensure procedures are maintained and adhered to.

  • Provide a fair, consistent and positive work environment for employees.

  • Represent the Spa department at meetings and conferences when needed.

  • Assist Director with development of annual business plan.

  • Participate in all property recognition programs.

  • Review all problem tickets and ensure payroll issues are handles on a timely basis.

  • Maintain accurate records on invoices, gift certificates, personnel issues, purchase orders.

  • Review monthly results with Director.

  • Assist with forecasting revenue and monitoring payroll and expenses on a weekly and monthly basis. Suggest appropriate action to effectively manage profitability.

  • Remain knowledgeable of current industry trends, developing new programs and making improvement recommendations to the Spa Director.

  • Evaluate competition's methods and products to enhance department service and systems.

  • Ensure the facility is clean, and all equipment is in working order.

  • Maintain resort and department high level service standards.

  • Consistently lead by example.

  • Patient and gracious in all guest interactions.

  • Well trained and knowledgeable about spa functions and services.

  • Complete all daily procedures and additional tasks as outlined and given.

  • Maintain a clean and organized front desk and retail area.

  • Maintain all locker rooms.

  • Attend all mandatory meetings.

  • Available to work a flexible shift including weekends and holidays.

  • Ensure appropriate desk coverage during opening hours, covering shifts as necessary to accommodate budgetary and service requirements.

Specific Job Knowledge and Skills:

  • Must have excellent proficiency with Spa Software.

  • Must be able to provide problem resolution effectively and efficiently with team members and guests.

  • Must have expert knowledge on all services provided.

  • Must be able and willing to coach & counsel team members when necessary.

  • High knowledge of computer systems required.

Other Expectations:

  • Regular attendance in conformance with the standards, which may be established from time to time, is essential to the successful performance of this position.

  • Due to the cyclical nature of the hospitality industry, associates may be required to work varying schedules to reflect the business needs of the hotel. This includes nights, weekends and/or holidays.

  • All employees must maintain a neat, clean and well-groomed appearance (specific standards available).

  • Employee is always required to take on the responsibility and wear appropriate Personal Protective Equipment (PPE) as determined by position and duties.

Qualifications:

Education:

Any combination of education and experience equivalent to graduation from high school or any other combination of education, training or experience that provides the required knowledge of skills and abilities.

Experience:

Minimum of two years' experience in the hospitality industry.

Grooming:

All employees must maintain a neat, clean and well-groomed appearance (specific standards available).

Other:

Additional language ability preferred.
