Job Summary

Join UT Southwestern as a Sourcing and Contracts Specialist in the Contracts Management department for the construction and facilities team. The Sourcing and Contracts Specialist works under minimal direction to collaborate with end-users and Group Purchasing Organizations for the contract management and sourcing of goods and services. This position will lead and support sourcing and contracting activities in assigned program lines. Candidates with construction experience are strongly preferred.

This is a hybrid work-eligible position that is currently 2 days/week in the office and can adjust with needs of the department.

Required Experience and Education

  • Bachelor's degree in science, healthcare, or business-related field, Master's degree preferred.

  • Minimum of two (2) years' experience in contract administration, purchasing, and sourcing.

  • Demonstrated intermediate use of Microsoft Excel, PowerPoint, and Word.

  • Strong knowledge in the review and understanding of legal contracts, terms, and conditions.

  • May consider additional years of experience in lieu of degree.

  • Must obtain the following certifications: Certified Texas Contract Manager and Certified Texas Contract Developer within 18 months of hire (3 attempts at the certification exam - first attempt only covered by UTSW) by internal scheduling.

Job Duties

  • Works in collaboration with the Category Manager to execute the desired sourcing strategy

  • Customer service to internal customers related to contract compliance

  • Demonstrate exceptional compliance communication to support customer and supplier activities

  • GPO and supplier price file management

  • Exclusive Acquisition Justification (EAJ) Processing/Tracking

  • Contract Risk Assessment and monitoring reporting

  • Perform required LBB Reporting tasks based on specified deadlines

  • Supports the management of supplier relationships, ensuring that UTSW business needs are met. Ensure key performance metrics (KPIs) to measure supplier performance are followed and lead supplier business reviews.

  • Reviews contracts for terms, changes and/or enhancements. Interacts with legal on contract language and terms in accordance with UT Southwestern policies and procedures.

  • Monitors contractors' compliance in accordance with contractual requirements to include insurance and HUB requirements.

  • Provides effective record keeping ensuring that all contract documents are readily assessable.

  • Export, Filter, Categorize and Interpret volumes of data to identify opportunities resulting from data selections and recommend sourcing opportunities.

  • Compile information and respond to internal and external audit requests.

  • Setting up, maintaining and completing tasks/activities in Sourcing Director platform

  • Performs other duties as assigned.

This position is security-sensitive and subject to Texas Education Code §51.215, which authorizes UT Southwestern to obtain criminal history record information.
