Job Description:

The Vital Records Office receives 120+ phone calls per day from the public seeking information on how to obtain certified copies of vital events that have taken place in Nebraska since 1904. Answering these calls is essential to providing Nebraskans with top notch customer services.

Without these two positions we see an increase in wait times to speak with a customer service specialist, which leads to complaints and dissatisfaction from many Nebraskans. The absence of these key positions requires other members of the Vital Records team, with an already heavy workload, to log in and take these calls throughout the day. This leads to an increase in time for all other operations of the unit, not limited to but including, registration of vital events and the issuance of certified copies of vital events.

Delays in our operations cause only cause dissatisfaction for our customers but can cause many hardships for Nebraskans. These two positions are essential to fill to fulfill our mission of help Nebraskans live better lives.

Under immediate to general supervision, positions at this level are assigned a variety of basic clerical or secretarial activities in support of agency office, program, or administrative operations. Duties may be limited to one specific activity or include a variety of support activities such as answers, screens, and routes phone calls to the appropriate person(s)and/or takes messages, may include multi-line phone systems,sorting and distributing mail, data entry, word processing, typing, scanning/filing,reviewing information for accuracy, maintaining records, scheduling, and copying material.

REQUIRED: Coursework/training or experience in public contact, customer service, and/or performing and applying office/clerical support procedures, including the use of a personal computer, associated software, and office equipment.

Knowledge of: the practices and procedures pertinent to office/clerical support operations; the methods of filing,record keeping, bookkeeping, and mailing; computer operations and standard software and hardware applications; answering and directing calls for a multi-line phone system.
