Job Summary

We are currently seeking a highly organized and experienced Soft Services Manager to oversee the management and delivery of soft services within our facilities. As a Soft Services Manager, you will be responsible for ensuring the smooth operation and high-quality delivery of various service areas, including sanitation, snow removal, pest control, café and breakroom services, and landscaping. Your role will involve managing contracts, coordinating with vendors, and collaborating with other stakeholders to ensure optimal service levels.

Team Management: Lead and manage a team of (3) employees within the soft services team, providing guidance, support, and development opportunities.

Assign tasks and responsibilities, ensuring timely and high-quality deliverables. Conduct regular performance evaluations and provide feedback to team members. Foster a positive and collaborative work environment.

Service Management: Oversee the day-to-day management of soft services operations to ensure efficient and effective service delivery across multiple facilities.

Vendor Management: Develop and maintain relationships with contracted vendors and service providers, including sanitation, snow removal, pest control, café and breakroom services, and landscaping. Monitor vendor performance, resolve issues, and ensure compliance with contractual obligations and quality standards.

Contract Management: Manage contracts and agreements for soft services, including negotiating terms, reviewing contract scope, and ensuring compliance with company policies and budgetary constraints. Coordinate bid requests, evaluate proposals, and select vendors based on criteria such as cost-effectiveness, service quality, and contract performance.

Budgeting and Cost Control: Collaborate with the finance department to develop and manage budgets for soft services. Implement strategies to control costs while ensuring optimum service levels and adherence to budgetary limits.

Compliance and Regulatory Requirements: Stay updated on relevant regulations and industry best practices pertaining to soft services. Ensure compliance with health and safety regulations, sanitation standards, and other applicable laws.

Performance Monitoring: Implement and maintain performance metrics and Key Performance Indicators (KPIs) to measure the effectiveness and quality of soft services. Continuously monitor and evaluate service performance, addressing any issues or areas for improvement.

Occupancy Planning: Provide oversight to Occupancy Planning team to ensure appropriate input and support on space utilization, furniture procurement, and relocation management, ensuring alignment with soft services requirements and standards.

Requirements:

  • Associates degree in facilities management or related field preferred. Relevant work experience may be considered in lieu of a degree.

  • Proven experience in contract management, with a track record of successful contract and vendor management.

  • Strong knowledge of soft services operations, including sanitation, pest control, café and breakroom services, and landscaping.

  • Excellent organizational and project management skills, with the ability to manage multiple responsibilities simultaneously.

  • Strong negotiation and communication skills, with the ability to effectively collaborate and build relationships with vendors, internal stakeholders, and cross-functional teams.

  • Proficiency in budgeting and cost control, with the ability to analyze financial data and drive cost-saving initiatives.

  • Knowledge of relevant regulations and industry standards pertaining to soft services.

  • Ability to adapt to changing priorities, identify areas for process improvement, and implement solutions.

  • Professional certifications in facilities management or related fields are a plus.

  • Familiarity with MSA (Master Services Agreement) assigned to the Soft Services team.

  • Proficient in MS Office, including Excel, and possess excellent written, verbal, and interpersonal communication skills.
