PRIMARY PURPOSE: Under the direction of the Social Services Assistance Manager, the SSA Administrative Office Coordinator provides administrative support, quality assurance, and compliance assistance to all SSA Staff as defined below and in the Standard Operating Procedures.


Plan and Administrative

  • Compile SSA Coordinator Data including daily number reporting, statistical data, and SNAP Assistance provided and submit to SSA Manager and HHSC in a timely and accurate manner.

  • Assist in covering the SSA Reception Desk and related tasks and responsibilities as needed.

  • Maintain SSA administrative equipment at the Cockrell Hill Campus as directed by the Manager of Administrative Services.

  • Oversee any volunteers utilized to support the SSA office and team, maintain documentation, and delegate appropriate tasks.

  • Attend meetings, presentations, and trainings as required.


  • Provide leadership to SSA Administrative staff and volunteers to enable them to provide administrative support to the Social Services Assistance Team.

  • Maintain an effective and professional working relationship with HHSC.


  • Oversee maintaining and disposal of secure client information as required by HHSC, including ensuring all required files are stored securely in the SSA Pending Box and/or in SharePoint SSA Private Folder.

MINIMUM QUALIFICATIONS: High School Diploma or equivalent required. Five to ten years of experience in the administrative support field required. Knowledge of public benefits and advocacy experience preferred. Comfortable working in low-income communities with diverse populations. Must be self-directed and self-motivated. Must have excellent written and verbal skills, professional appearance and courteous manner, and have a clear and polite phone voice. High level of proficiency with Microsoft Office applications is required.

Your Career The Professional Services Project Coordinator will manage low-risk, short duration services engagements. These engagements are typically Time and Material engagements of 20 days or less total effort. Coordination and communication of schedule information to the project team * Create and execute project work schedules, and revise as appropriate to meet changing needs * Ensure project documents are complete, current, and stored appropriately * Track and report team hours and expenses on a weekly basis * Create and provide weekly customer status reports throughout the engagement until the purchased Time and Expense is exhausted Your Experience * BS in Computer Science, MIS, Business, or equivalent education/training/experience * Good communication skills including written, verbal, presentation (including Microsoft PowerPoint), and adaptive (multi-level) * Good organizational skills including tool utilization (spreadsheets, project management tools, mind maps), information capture, attention to detail, and prioritization * Flexible to shifting priorities, demands, and timelines; able to promptly and efficiently react to project adjustments and alterations The Team Our professional services team is critical to our success and mission.
