Under the general direction of the Sr. Vice President, Operations and the specific direction of the Site/Project Manager, the Site Administrative Managers (SAM) is responsible for performing and/or coordinating the daily administrative outcomes. The SAM acts a major administrative program or an administrative section that supports contract operations.


  • Supports the Site/Project manager with interoffice correspondence, work order system management and employee relations.

  • May perform site inspections and random floor checks as required.

  • Maintains a customer service attitude and serve as liaison between the client and operations. Focus on ensuring the client's needs are met.

  • Identify labor need for proposals and create proposals upon the client's request.

  • Submit invoicing to client for coding and distribution.

  • Partners with leadership across multiple shifts to ensure employee needs are met and addressed. Communicates any labor or employee relations issues as required to Corporate.

  • May serve in the capacity of a shift manager during his/her absence in the case of a vacancy.

  • Facilitate communication between day shift operations and night shift operations to make sure information flows in an accurate and timely manner.

  • Ensure accurate and timely submission of required reports and records including, but not limited to, payroll, personnel files, safety training records, quality management status, budget status, employee status changes to Corporate.

  • Maintain the confidential nature of all employee information, pay records, etc. Ensure employee records are maintained in a secured environment. Maintain accurate site employee files.

  • Create and maintain the accuracy of the quality management system (QMS) database for, but not limited to, employee information, training, work-loading, job numbers, client complaints, equipment status and preventative maintenance schedules. Generates reports as requested.

  • Maintain SDS notebook and inventory list.

  • Tracks site workers compensation claims and employee leave requests.

  • Ensure pay records are verified for accuracy and completeness on a regular. Communicates any problems with the biometric timekeeping system.

  • Order operational supplies and maintains the required reports.

  • Participates in monthly SAM best practices calls or virtual training.

  • Facilitates and/or coordinates employee or site training.

  • Execute plans, policies, and programs in business and financial affairs, property and equipment, supplies, housekeeping, uniforms, forms, building maintenance, and safety programs.

  • Consult with Site Manager on program plans in relation to fiscal capacity. Recommend and develop departmental procedures related to personnel issues, budget, and other administrative functions or programs.

  • Performs all other duties as assigned.


Educational and Certification

High school diploma or GED. Bachelor's degree in Business or related area preferred.
