The Johns Hopkins University Applied Physics Laboratory (APL), a national leader in scientific research and development, is located midway between Baltimore and Washington, DC., is seeking an Office Administrator for the Signal and Systems Analysis Group.

Job Summary:
Provide administrative support for the Signal and Systems Analysis Group (KTA) in the Force Projection Sector (FPS), to include purchasing, travel reimbursements, inventory tracking, and group office administration. Prioritize and perform a wide variety of administrative tasks with a high degree of accuracy and attention to detail for an engineering group of 60 professionals.

Duties:

  • Provide support for the submission, tracking, and inventory of purchase requisitions. Support property management processes and respond to requests for asset information/status. (30%)

  • Provide support for travel arrangements and process travel expense reports (ERs) for group staff. Send and confirm external visit requests in support of meetings. (30%)

  • Prepare and track shipping authorization/requests. Coordinate shipment logistics, both internally and externally. Coordinate classified shipments through the Document Control Center (DCC). (30%)

  • Seek opportunities to make the group more effective and productive by identifying new/improved administrative procedures. Provide support for meeting arrangements, to include submitting catering orders, etc. Contribute to the group morale by planning and supporting special events. (10%)

Required Qualifications:
High School diploma or equivalent.

Minimum five years of relevant administrative office experience. Exceptionally strong written/verbal communications and interpersonal skills, with the ability to effectively work at all levels of staff and sponsors. Strong editing skills to include recognizing and correcting grammar, spelling, punctuation, and logical organization errors.

Capability to multi-task, solve problems independently and quickly adjust to fast changing priorities, while paying attention to detail. Proficiency in the following applications: MS Word, Excel, PowerPoint, Outlook, and Adobe Acrobat Pro.

Ability to handle high degree of responsibility and willingness to perform a variety o administrative tasks. Ability to obtain and maintain DoD government clearance.

Desired Qualifications:
Associates degree.

Seven years or more relevant administrative office experience. Previous administrative experience within APL and familiarity with JHU/APL staff, sponsors, and programs. Familiarity with APL practices and procedures, including travel, purchasing, security, and budgetary interactions; experience with Enterprise Business Support System (EBSS). Data Warehouse and Resource Management Information System (RMIS), Property Equipment Management System (PEMS), and World Travel Inc. (WTI).

Special Working Conditions:

Special Conditions: Occasional irregular working hours may be required to meet KTA group's emergent needs.

Security: Secret Clearance is required to perform the essential functions of the job.

Applicants selected will be subject to a Government security investigation and must meet the eligibility requirements for access to classified information up to the Secret level. Eligibility requirements include US citizenship.
